This is a fully remote position, open to applicants in United States.
• Take charge of the daily administration, upkeep, modification, and distribution of technical, quality, operational, and project documentation.
• Oversee documents and records throughout all stages of the product line, ensuring efficient electronic retention systems for timely access during internal and external audits.
• Develop and enhance processes for document intake, review, approval, distribution, closeout, retention, and retrieval utilizing SharePoint and other document management tools.
• Create Power Automate flows and assist in the development of Power Apps to streamline document requests, facilitate routing, approvals, gather structured information, issue reminders, and aid in management reporting.
• Assess documents and records for precision, completeness, compliance, and alignment with project, program, customer, and quality standards; identify deficiencies and coordinate corrective measures.
• Generate operational reports, summaries, dashboards, and management-ready products using Excel, Power BI, and other Microsoft 365 applications.
• Assist with project communications, submissions, RFIs, records turnover, audit readiness, procurement documentation, vendor assessments, and special initiatives.
• Manage sensitive information with confidentiality, communicate effectively with diverse audiences, and resolve routine issues with little supervision.
• Provide support for procurement, vendor management, strategic sourcing, special projects, organizational studies, policy assessments, process enhancements, and operational adjustments as assigned.
• Bachelor's degree in business administration, technical studies, operations, information management, or a related discipline.
• Proven capability to organize large volumes of information, meet deadlines, maintain precise records, and communicate effectively with both technical and non-technical stakeholders.
• Proficient experience with Microsoft 365, including Excel, Word, Outlook, PowerPoint, SharePoint, and Adobe Acrobat Pro.
• Hands-on experience in constructing or maintaining Power Automate workflows and developing or supporting Power Apps for operational processes, request forms, trackers, or approvals.
• Ability to comprehend procedures, consistently apply requirements, identify missing or outdated information, and ensure corrective actions are implemented.
• Exceptional organizational skills, attention to detail, communication abilities, analytical thinking, problem-solving skills, and capacity to work independently across departments.
