This is a fully remote position, open to applicants in India.
• Oversee recruitment processes, which include scheduling interviews, managing communications with candidates, and collaborating with hiring managers.
• Facilitate the onboarding process for new employees, ensuring all necessary documentation, equipment, and access are arranged along with general support.
• Organize logistics for staff travel, covering bookings, itineraries, visas, permits, and arrangements for field and program travel.
• Assist in the planning and execution of events, workshops, donor meetings, and offsite activities, handling venue selection, vendor coordination, and on-site logistics.
• Identify and manage local vendors and service providers, ensuring that all contracts and agreements comply with local regulations.
• Supervise office and facilities requirements along with internal tools administration, including access, licenses, subscriptions, and equipment management.
• Maintain and enhance operational systems and documentation, which include trackers, checklists, logs, vendor agreements, and program files.
• Identify operational challenges and collaborate with relevant internal teams or advisors to find resolutions.
• Serve as a liaison among candidates, new hires, consultants, partners, and cross-functional teams while managing sensitive information with confidentiality.
• Contribute to improvements in processes as PxD's operations in India evolve.
• Undertake additional responsibilities as assigned to meet the changing needs of the program.
• Candidates must possess valid authorization to work in India; PxD cannot provide visa sponsorship for this position.
• A Bachelor's degree, diploma, or equivalent professional experience, preferably in business administration, human resources, or a related field is required.
• Demonstrated experience in operations, HR-related, or administrative roles is essential.
• Solid understanding of administrative and operational practices within an Indian context, including knowledge of local vendor, travel, and regulatory compliance norms (e.g., visas, contracts).
• Exceptional organizational abilities, capable of managing multiple tasks, timelines, and stakeholder relationships concurrently.
• Proactive and self-motivated, able to adapt quickly to changing priorities and take initiative without requiring extensive guidance.
• Strong written and verbal communication skills are necessary, enabling confident coordination among candidates, staff, vendors, and partners.
• Comfortable utilizing operations, HR, and project management tools (e.g., applicant tracking systems, scheduling platforms, travel booking tools); familiarity with BambooHR or similar HRIS platforms is advantageous.
• Flexible and resilient, comfortable working in a fast-paced, changing environment, and willing to engage in various operational, administrative, and logistical tasks.
• Proven ability to manage confidential and sensitive information, including HR, vendor, and program-related data, with discretion and professionalism.
• Demonstrated capability to identify and implement operational enhancements, streamline processes, and create scalable systems (e.g., trackers, checklists, documentation) as the organization expands.
