This is a fully remote position, open to applicants in United States.
• Lead, mentor, and cultivate a team of Retirement Onboarding Specialists, involving hiring, training, goal setting, and performance management.
• Allocate and balance the onboarding caseloads according to plan complexity, team capacity, and client deadlines.
• Act as the escalation point for intricate plan provisions, difficult conversions, and client or partner issues.
• Supervise the onboarding process for all new retirement plan clients, ensuring that milestones and deadlines are achieved.
• Examine plan document mapping, amendments, restatements, Summary Plan Descriptions, and related materials for precision and compliance.
• Manage onboarding systems, status reporting, and documentation, offering leadership visibility into pipeline, timelines, and team performance.
• Facilitate plan provision and onboarding calls for complex or high-priority clients.
• Counsel clients and advisors on plan design alternatives and subsequent steps.
• Guide the team in enhancing plan design and solutions for unsupported recordkeeper provisions.
• Develop and sustain onboarding procedures, checklists, and quality control measures.
• Collaborate with recordkeepers, advisors, and internal teams to address recurring issues.
• Enhance processes, workflows, and technology as the business evolves.
• Monitor ERISA, IRS, and legislative changes, translating updates into team guidance and training.
• Execute additional responsibilities as assigned.
• A minimum of 7 years of experience with retirement plan documents, qualified retirement plans, or TPA operations.
• At least 2 years of experience in supervising, managing, or leading a team.
• In-depth knowledge of ERISA and IRS regulations governing qualified retirement plans.
• Extensive experience in reviewing, interpreting, and drafting retirement plan documents.
• Thorough understanding of 401(k) plan provisions and plan design concepts.
• Demonstrated ability to manage multiple concurrent projects and deadlines across a team.
• Exceptional written and verbal communication skills, including the capability to clarify complex retirement plan concepts to clients, advisors, and leadership.
• Strong coaching abilities and the capacity to provide clear, constructive feedback.
• Sound judgment, a proactive and solutions-oriented mindset, and a strong sense of ownership.
• Experience in developing or scaling an onboarding, conversion, or implementation team is preferred.
• Familiarity with plan amendments, restatements, SPDs, and other compliance documents is preferred.
• Experience with 401(k) plan administration, including compliance testing and plan operations is preferred.
• Familiarity with retirement plan document and administration systems, as well as workflow or project management tools is preferred.
