This is a fully remote position, open to applicants in District of Columbia, +2 more states.
β’ Oversee daily operations for two office locations situated in Washington, DC, and Louisville, KY.
β’ Create and uphold office procedures, workplace standards, and operational guidelines.
β’ Evaluate office operations and implement enhancements for efficiency and employee experience.
β’ Act as the main escalation point for issues related to the office.
β’ Develop operational documentation, workplace procedures, and business continuity strategies.
β’ Manage facility maintenance, repairs, upgrades, and preventative maintenance efforts.
β’ Coordinate with landlords, property management companies, and building operations teams.
β’ Oversee office relocations, space planning, workstation modifications, and workplace improvement initiatives.
β’ Collaborate with IT to support workplace technology and office systems.
β’ Supervise office hospitality, conference room usage, visitor management, and employee amenities.
β’ Administer facility access, office security, badge management, access permissions, and visitor protocols.
β’ Organize onsite meetings and events, ensuring facility readiness, vendor coordination, room setup, and day-of support.
β’ Lead office operations staff, including onboarding, training, coaching, performance evaluation, and employee growth.
β’ Assign, prioritize, and oversee operational tasks.
β’ Manage vendors, service providers, contractors, workplace partners, service agreements, and vendor performance.
β’ Coordinate the procurement of office supplies, furniture, equipment, and workplace services.
β’ Review invoices, manage vendor expenses, and assist with budget administration.
β’ Support office operating budgets, track expenses, monitor spending, and identify cost-saving opportunities.
β’ Prepare operational reports and workplace metrics for leadership assessment.
β’ Collaborate with departmental leaders and cross-functional teams to address workplace requirements.
β’ Communicate updates regarding the office, operational changes, and workplace initiatives.
β’ Assist with executive visits, board meetings, and significant organizational activities.
β’ Manage onboarding and offboarding processes related to workplace access and resources.
β’ Ensure workplace safety, emergency preparedness, security protocols, policy compliance, and adherence to building regulations.
β’ Over 7 years of experience in office management, workplace operations, facilities management, business operations, or a similar field.
β’ At least 3 years of experience in managing staff, teams, or cross-functional workplace operations.
β’ Proven experience in supporting multiple office locations.
β’ Preferred experience in supporting hybrid and distributed work environments.
β’ Demonstrated expertise in managing workplace technology and office systems, including conference room technology, audiovisual tools, printers, and other workplace infrastructure.
β’ Proven experience in overseeing multiple office locations.
β’ Experience in managing budgets, vendors, contracts, and workplace projects.
β’ Capability to lead workplace initiatives and operational projects from planning through execution.
β’ Ability to guide organizational and workplace changes while ensuring operational continuity and a positive employee experience.
β’ Proven ability to manage and prioritize competing deadlines and multiple initiatives simultaneously.
β’ Strong skills in organization, project management, and problem-solving.
β’ Excellent written, verbal, and interpersonal communication abilities.
β’ Proficiency in Microsoft 365 and workplace management technologies.
β’ Demonstrated leadership, relationship management, problem-solving capabilities, and influencing skills across diverse stakeholder groups.
β’ Preferred experience supporting executive-level stakeholders.
β’ Knowledge of workplace safety, emergency preparedness, and business continuity planning is preferred.
β’ Bachelor's degree in Business Administration, Operations Management, Hospitality, Facilities Management, or a related discipline is preferred.
β’ Certifications such as Facilities Management Professional (FMP), Certified Facility Manager (CFM), Project Management Professional (PMP), or related credentials are preferred.
