
NDIS Admin β Compliance Coordinator

This is a fully remote position, open to applicants in Philippines.
β’ Provide high-level executive support to the Founder/CEO and Program Director.
β’ Establish, integrate, and oversee workflows across ShiftCare, Employment Hero, Xero, Microsoft 365, Canva, and Snap forms.
β’ Identify opportunities for process enhancement, automate manual data entry tasks, and apply effective AI and technology solutions.
β’ Manage employee onboarding processes, HR administration, personnel records, timesheets, and scheduling.
β’ Utilize the SCHADS Award to ensure accurate payroll management.
β’ Supervise PRODA, NDIS claims, worker screening, incident reporting, restrictive practices, and audit documentation.
β’ Handle routine bookkeeping tasks, including Xero management, invoicing, bank reconciliations, and payroll-related financial duties.
β’ Maintain organization, compliance, and smooth operation of the NDIS disability services business.
β’ Anticipate the needs of leadership, identify workflow inefficiencies, independently resolve issues, and take responsibility for deliverables.
β’ Candidate must be based in the Philippines.
β’ At least 3 years of full-time experience in NDIS administration, compliance frameworks, and using the PRODA portal.
β’ Demonstrated experience as a Senior Administrator or Executive Assistant supporting founders, small business owners, or leadership teams.
β’ High-level expertise in ShiftCare, Employment Hero, and Xero, encompassing backend setup, configuration, and optimization.
β’ Strong practical understanding of Australian HR and payroll principles, including the interpretation and application of the SCHADS Award.
β’ Practical experience in financial administration, such as payroll processing, invoicing, and bank reconciliations.
β’ Proven ability to streamline workflows, implement automations, and utilize AI tools effectively.
β’ Advanced skills in Microsoft 365 applications, including Outlook, Teams, Excel, Word, and PowerPoint.
β’ Hands-on design experience using Canva.
β’ Exceptional written and spoken English skills.
β’ Keen attention to detail in data entry, compliance, and communication tasks.
β’ Must disclose any ongoing roles or client work.
β’ Must complete and maintain mandatory NDIS background checks and worker screening.
β’ Reliable high-speed internet connection is required.
β’ Must possess secure, professional-grade equipment, including a modern laptop and smartphone.
β’ Full commitment to the role, with 40 hours per week dedicated solely to this position, without other employment, client work, or ongoing commitments.
β’ Absolute confidentiality regarding the business and its participants is essential.
β’ Must refrain from disclosing, listing, or reflecting the role or engagement on LinkedIn or other public social media platforms.
β’ Must have a solid understanding of the NDIS Price Guide and be able to communicate effectively with self-managed, plan-managed, and agency-managed funding.
