
Multi Property Residential – Estate Manager

This is a fully remote position, open to applicants in Massachusetts.
• Oversee the daily operations and maintenance of various residential properties situated in multiple locations.
• Supervise houses, villas, vacation properties, and short-term rental/BnB accommodations.
• Manage housekeeping, landscaping, maintenance, repairs, pest control, pool services, utilities, security, and other related property services.
• Proactively identify maintenance issues and ensure timely and high-quality repairs are executed.
• Lead and coordinate local vendors, contractors, housekeepers, handymen, and other service providers.
• Gather quotes, negotiate vendor pricing, approve work within established guidelines, and monitor expenses.
• Conduct routine property inspections and maintain comprehensive checklists for each location.
• Prepare properties for the arrival of owners, management, family members, or guests.
• Organize arrivals, departures, cleaning schedules, linen management, supplies, groceries, and other property-specific needs.
• Oversee short-term rental operations, including guest readiness, cleaning turnovers, maintenance coordination, and issue resolution.
• Keep inventories of furniture, appliances, equipment, keys, access cards, household supplies, and other property assets.
• Monitor utility bills, maintenance contracts, insurance documents, permits, and recurring services.
• Respond promptly to emergencies involving plumbing, electrical, HVAC, security, storms, and property damage.
• Provide management with regular updates regarding property conditions, maintenance, expenditures, and significant issues.
• Build and maintain networks of local vendors in each area.
• Uphold confidentiality and discretion concerning management-owned properties and personal matters.
• Previous experience in managing high-end residences, luxury villas, vacation homes, hospitality properties, serviced apartments, Airbnb/short-term rentals, or a multi-property residential portfolio.
• Comfortable managing properties across different cities or states.
• Strong skills in vendor management and facilities management.
• Highly organized and capable of addressing multiple issues simultaneously.
• Practical and hands-on; willing to conduct personal property inspections and resolve operational challenges.
• Excellent communication and reporting abilities.
• Bilingual in English and Spanish is strongly preferred.
• Comfortable interacting with household staff, contractors, guests, vendors, and senior management.
• Able to work independently with minimal supervision.
• Willing and able to travel frequently between New York, Florida/Tampa, Puerto Rico, and other locations.
• Availability to address urgent property matters outside of standard business hours as needed.
• Valid driver's license and capability to travel domestically.
