This is a fully remote position, open to applicants in United States.
• Manage and enhance the complete patient flow within Mental Health services.
• Provide strategic operational leadership for intake processes, patient access, scheduling, management of provider capacity, referral conversion, care coordination, billing efficiency, and ongoing process improvements.
• Directly oversee Intake Coordinators, Scheduling Specialists, Access Coordinators, and other operational support personnel.
• Recruit, onboard, train, and mentor team members.
• Conduct individual meetings, coaching sessions, and performance assessments.
• Set expectations for productivity, quality, and service delivery.
• Design staffing models and schedules while managing workforce planning.
• Supervise patient intake processes, access workflows, referrals, inquiries, appointment requests, waitlists, and backfill strategies.
• Track patient flow, provider schedules, capacity, appointment completion, cancellations, no-shows, rescheduling, continuity of care, and patient leakage.
• Manage internal and external referral processes and care transitions.
• Collaborate with Revenue Cycle teams to resolve billing and claims issues, enhance charge capture, and minimize revenue delays.
• Construct and maintain operational workflows and standard operating procedures (SOPs).
• Identify inefficiencies, spearhead process enhancements, operational projects, and system implementations.
• Coordinate the onboarding of new providers and support the launch of programs, market expansions, and strategic initiatives.
• Monitor dashboards and key performance indicators (KPIs), analyze operational trends, create leadership reports, and present actionable recommendations.
• Ensure compliance with HIPAA regulations, payer requirements, authorization processes, credentialing, scheduling, registration, and documentation standards.
• Must be fluent in Spanish.
• Bachelor's degree in Healthcare Administration, Business Administration, Public Health, Psychology, or a related field (or equivalent experience).
• 3–5 years of experience in healthcare operations or patient access.
• At least 2 years of leadership or supervisory experience.
• Experience in the mental health sector.
• Strong understanding of scheduling workflows and patient access management.
• Advanced skills in Microsoft Excel and reporting tools.
• Familiarity with electronic health record (EHR) systems.
