Medical Virtual Assistant – Podiatry Charting, Referrals

This is a fully remote position, open to applicants in Philippines.

📋 Description

• Review transcriptions and refine clinical notes for physician assessment

• Finalize charts and prepare them for physician endorsement

• Populate patient charts with referral information, test outcomes, orders, and supporting documents

• Ensure that chart sections are accurate, complete, and well-organized

• Dispatch orders after physician notes have been finalized, as necessary

• Process incoming referrals and update patient charts accordingly

• Contact referral patients to assist in scheduling appointments

• Monitor referral status and accurately document patient information

• Coordinate scheduling updates based on referral requirements and practice workflows

• Review, sort, identify, and route incoming faxes

• Track outstanding fax-related issues and perform follow-ups

• Make appointment confirmation calls and remind patients of appointment expectations

• Inform patients about no-show fees and outstanding balances when applicable

• Inquire about insurance concerns and remind patients to bring their insurance cards

• Contact patients regarding ordered tests such as MRIs or EMGs and gather details/results locations

• Ask new foot-pain patients their preferred imaging locations to send X-ray orders in advance

• Conduct insurance eligibility checks and document any concerns

• Support outbound calls and administrative follow-up tasks

• Assist with additional clinical and administrative responsibilities as the role evolves

⛳️ Requirements

• Medical Assistant or Clinical Administrative Experience is mandatory

• Experience in supporting clinical documentation, chart preparation, referrals, patient coordination, or medical office workflows is essential

• Chart Review & Clinical Documentation Experience is crucial

• Referral Processing Experience is required

• Fax Management Experience is necessary

• Outbound Patient Call Experience is essential

• Experience with Insurance Eligibility is required

• Podiatry experience is highly preferred

• Experience in Orthopedic, surgical, or specialty medical fields is preferred

• AdvancedMD experience is preferred but not mandatory; strong EMR/EHR experience may be considered

• Experience with Vonage or similar phone systems is preferred but not essential

• Strong comprehension of medical charting, clinical documentation, and patient record accuracy is vital

• Exceptional attention to detail and the ability to identify missing or incomplete information is required

• Professional and confident skills in making outbound patient calls

• Strong organizational skills, reliability, and the ability to manage referrals, faxes, charts, and follow-up tasks

• Capability to quickly learn medical terminology and practice-specific workflows

• Ability to work across clinical and administrative functions

• Ability to work independently with minimal supervision

• Strong retention mindset and a genuine interest in a long-term role

• Must speak and write English clearly and professionally

• Must possess relevant work experience

• Must provide an NBI Clearance and/or Local Police Clearance prior to onboarding

• Must be available for video meetings with the camera on when required

• Reliable laptop or desktop computer is essential

• Stable high-speed internet connection of at least 25 Mbps is required

• Noise-canceling headset is necessary

• Working webcam is required
