This is a fully remote position, open to applicants in Philippines.
• Confirm patient insurance after check-in, usually about 15 minutes post the scheduled appointment time.
• Verify that insurance details are precise, current, and thoroughly documented.
• Analyze denied claims, determine the reasons for denial, assist in claim reprocessing, and monitor follow-up actions.
• Review and handle Explanation of Benefits (EOB) documents and resolve any EOB backlogs.
• Address outstanding insurance balances and issues related to patient accounts.
• Facilitate claims-related processes, including those for Cigna and Veterans Affairs.
• Manage vendor payments, including issuing checks when necessary.
• Oversee the completion, accuracy, and compliance of SOAP notes.
• Keep track of missed and canceled appointments, as well as scheduling patterns.
• Generate reports on balances, appointments, EOB backlog, denied claims, and various operational metrics.
• Offer clear insights and actionable recommendations within reports as needed.
• Coordinate communication among the provider, care team, and administrative personnel.
• Identify gaps in workflows, billing issues, documentation delays, scheduling problems, and patient account discrepancies.
• Suggest practical solutions aimed at enhancing clinic efficiency.
• Alleviate administrative and billing responsibilities from the provider's duties with minimal oversight.
• At least 1 year of experience as a Medical Virtual Assistant.
• Background in supporting a healthcare practice in the United States.
• Familiarity with insurance verification, EOBs, claims processing, denied claims, patient balances, or billing support.
• Knowledge of CPT and ICD-10 coding systems.
• Excellent English communication skills, both in writing and speaking.
• Strong executive presence and a professional style of communication.
• Must be proficient in Mac OS.
• Exceptional attention to detail and commitment to follow-through.
• Ability to operate independently with minimal supervision.
• Demonstrated leadership, accountability, or ownership in previous roles.
• Proactive mindset with the capability to anticipate needs without prompting.
• Highly detail-oriented, particularly in billing, documentation, and reporting tasks.
• Strong analytical and problem-solving abilities.
• Emotionally intelligent and patient when collaborating with a busy provider.
• Confident, professional, and organized in communication.
• Capable of taking personal responsibility for assigned tasks.
• Resourceful and self-driven when acquiring new workflows.
• Trustworthy, reliable, and comfortable managing sensitive information.
• Previous experience supporting a chiropractic clinic (preferred).
• Familiarity with Cigna or Veterans Affairs claims (preferred).
• Experience in clearing EOB or billing backlogs (preferred).
• Background in preparing operational or billing reports (preferred).
• Experience mentoring, training, or assisting new team members (preferred).
• Previous collaboration with a clinic owner, provider, or executive-level leader (preferred).
• Performance-based salary increase after 6 months.
