This is a fully remote position, open to applicants in Colombia.
• Confirm patient insurance following check-in, generally about 15 minutes post the scheduled appointment time.
• Ensure that insurance information is correct, current, and thoroughly documented.
• Analyze denied claims, determine reasons for denial, assist with reprocessing claims, and monitor follow-up issues.
• Review and manage Explanation of Benefits documents, as well as clear any EOB backlogs.
• Assess outstanding insurance balances and patient account concerns, coordinating resolutions as necessary.
• Support workflows related to claims, including those involving Cigna and Veterans Affairs claims.
• Assist in coordinating vendor payments, including issuing checks when required.
• Oversee the completion, accuracy, and compliance of SOAP notes.
• Track missed and canceled appointments, along with scheduling trends.
• Generate operational reports detailing balances, appointments, EOB backlogs, denied claims, and additional metrics.
• Offer clear insights and actionable recommendations in reports as needed.
• Facilitate communication among the provider, care team, and administrative staff.
• Identify gaps in workflows, billing issues, documentation delays, scheduling problems, and patient account challenges.
• Suggest practical solutions aimed at enhancing clinic efficiency.
• At least 1 year of experience as a Medical Virtual Assistant.
• Experience in supporting a healthcare practice in the United States.
• Familiarity with insurance verification, EOBs, claims, denied claims, patient balances, or billing support.
• Knowledge of CPT and ICD-10 codes.
• Excellent English communication skills, both written and verbal.
• Strong executive presence and a professional communication style.
• Must be proficient in Mac OS.
• Exceptional attention to detail and commitment to follow-through.
• Capability to work independently with minimal supervision.
• Demonstrated leadership, ownership, or high-accountability experience in a previous position.
• Proactive mindset with the ability to anticipate needs before being requested.
• Strong critical thinking and problem-solving abilities.
• Emotionally intelligent and patient when interacting with a busy provider.
• Confident, professional, and organized in communication.
• Able to take personal responsibility for assigned tasks.
• Resourceful and self-motivated when learning new workflows.
• Trustworthy, reliable, and comfortable managing sensitive information.
• Previous experience supporting a chiropractic clinic is preferred.
• Familiarity with Cigna or Veterans Affairs claims is advantageous.
• Experience in clearing EOB or billing backlogs is a plus.
• Background in preparing operational or billing reports is beneficial.
• Experience in mentoring, training, or supporting new team members is a nice addition.
• Experience working closely with a clinic owner, provider, or executive-level leader is a valuable asset.
