This is a fully remote position, open to applicants in Philippines.
• Serve as the initial point of contact by answering incoming calls from patients.
• Address inquiries from patients and potential patients.
• Provide details about services, policies, and cash-pay pricing.
• Manage administrative inquiries and follow up on communications with patients.
• Collect patient data and assist with the onboarding process for new patients.
• Create and maintain patient records in the EHR once it is implemented.
• Schedule, reschedule, and coordinate appointments, confirmations, and follow-ups.
• Assist patients with general inquiries and non-clinical concerns.
• Support patients with mobility challenges, cognitive differences, chronic conditions, neurologic issues, or communication requirements.
• Accurately document calls related to symptoms and medical concerns.
• Escalate clinical inquiries, symptoms, and issues to the appropriate healthcare provider, without providing medical advice.
• Uphold professional boundaries between administrative duties and clinical guidance.
• Manage the general email inbox and patient-facing communications as necessary.
• Ensure patient information is accurate and assist with EHR documentation and record keeping.
• Generate superbills when within the scope of experience and capabilities.
• Aid in scheduling, intake, documentation, and day-to-day practice operations.
• Protect patient confidentiality and manage sensitive information in accordance with HIPAA regulations.
• Learn and adapt to new systems, workflows, and operational procedures.
• Prior experience in patient-facing healthcare roles, preferably as a Medical Patient Coordinator, Medical Receptionist, Medical Assistant, Patient Care Coordinator, Medical Virtual Assistant, or similar position.
• Strong background in handling patient inquiries, intake, scheduling, and follow-ups.
• Familiarity with medical terminology and healthcare operational workflows.
• Experience in supporting patients through administrative and care coordination processes.
• Excellent phone manner and a warm, reassuring, and professional communication style.
• Outstanding spoken and written English communication abilities.
• Strong listening skills, empathy, patience, and sensitivity.
• Capability to clearly and accurately explain services, policies, and cash-pay pricing.
• Ability to communicate effectively without providing medical advice or overstepping administrative role boundaries.
• Strong experience in appointment scheduling and patient intake.
• Highly organized with a keen attention to detail.
• Ability to maintain accurate and comprehensive patient information.
• Strong follow-through and the ability to independently manage patient follow-ups.
• Dependable, responsive, consistent, adaptable, and comfortable with learning new processes and technologies.
• Understanding of HIPAA regulations and patient confidentiality protocols.
• Ability to recognize and promptly escalate clinical issues to the provider.
• Must be able to communicate in English clearly and professionally, both orally and in writing.
• Relevant work experience is required.
• Must provide an NBI Clearance and/or Local Police Clearance prior to onboarding.
• Must be available for video meetings with the camera on as needed.
• Reliable laptop or desktop computer is necessary.
• A stable high-speed internet connection of at least 25 Mbps is required.
• Noise-canceling headset is essential.
