📋 Description

• Take ownership of and monitor the pre-operative process for various surgical patients from the moment of booking until they are ready for surgery.

• Ensure that each patient's pre-operative checklist is up-to-date, identifying any missing clearances, tests, records, documentation, and other prerequisites before they lead to delays.

• Organize necessary appointments and testing, including imaging, medical clearances, laboratory work, and other pre-operative necessities.

• Reach out to hospitals, imaging centers, laboratories, physicians' offices, and other healthcare facilities to gather outstanding information and keep cases progressing.

• Persistently follow up with external providers in cases where testing, records, or clearances are delayed, advocating for patients while maintaining professional communication.

• Conduct or assist with standardized pre-operative patient calls, clearly guiding patients through established non-clinical instructions and subsequent steps.

• Maintain precise documentation of patient interactions, completed requirements, pending items, and case statuses within the relevant systems.

• Clearly communicate surgical readiness, outstanding requirements, and potential delays to the broader practice team.

• Identify clinical questions, unusual situations, or concerns that fall outside administrative duties and escalate them promptly instead of providing independent medical advice.

• Offer additional medical administrative and patient-coordination support as needed to enhance the efficiency of the surgical process.

⛳️ Requirements

• A minimum of 3 years of experience in medical administration, surgical coordination, patient coordination, pre-operative coordination, or closely related healthcare operations.

• Practical experience working in a U.S. medical practice or healthcare setting.

• Direct experience in coordinating surgical or pre-operative patients, including managing appointments, tests, medical records, clearances, or required documentation.

• Proficient in using EMR, CRM, patient-management, or similar medical-office systems.

• Confidence in communicating directly with patients and contacting hospitals, imaging centers, laboratories, physicians' offices, and other healthcare providers.

• Exceptional spoken and written English skills, along with strong documentation, organizational, case-tracking, and follow-through abilities.

• Sound judgment regarding the distinction between administrative and clinical responsibilities, including understanding when an issue should be escalated to clinical staff.

• Experience in plastic surgery, cosmetic surgery, aesthetics, or another high-touch private-pay medical environment is a plus.

• Medical Assistant training, nursing-related education, healthcare education, or equivalent clinical-office experience is preferred.

• Experience in conducting standardized pre-operative patient calls is advantageous.

🏝️ Benefits

• Comprehensive health benefits package.

• Opportunities for professional development and continuing education.

• Supportive work environment with a focus on patient care and team collaboration.
