This is a fully remote position, open to applicants in Brazil, +1 more country.
• Identify opportunities to expand the firm's online presence and enhance professional relationships.
• Assist in social media engagement with referral partners, professional organizations, attorneys, fiduciaries, and community contacts.
• Employ AI tools to enhance efficiency and support marketing execution.
• Conduct routine updates on the website, including attorney credentials, biographies, awards, events, news, and directory information.
• Organize and manage marketing assets such as biographies, CVs, headshots, articles, presentations, videos, awards, and approved marketing materials.
• Execute quality assurance reviews prior to campaign launches.
• Identify duplicate records and perform regular database audits.
• Keep accurate contact records in HubSpot.
• Assist attorney business development efforts through research and tracking of opportunities.
• Research conferences, podcasts, webinars, professional associations, speaking opportunities, and industry events.
• Support webinar administration, including CLE accreditation, attendee lists, event materials, and post-event contact management.
• Create and schedule evergreen social media content.
• Review website content for outdated information, broken links, and content accuracy.
• Build and schedule newsletters and email marketing campaigns.
• Monitor campaign performance and maintain reporting records.
• Manage contact lists, segmentation, and CRM data hygiene activities.
• Draft presentation materials based on outlines and direction provided by leadership.
• Maintain attorney topic banks, presentation resources, and outreach lists.
• Keep a centralized calendar for awards, conferences, speaking engagements, sponsorships, association events, editorial opportunities, and business development activities.
• Coordinate event invitations, attendee tracking, RSVP management, and follow-up communications.
• Full-time schedule from Monday to Friday.
• Ideally available from 8:30 AM to 5:30 PM PST, with sufficient overlap during Pacific Time business hours.
• Proficient in English; excellent verbal and written communication skills are essential.
• Previous experience in marketing, business development, communications, or administrative support is required.
• Proven ability to manage multiple projects and deadlines simultaneously.
• Experience in supporting events, email marketing, or social media initiatives is preferred.
• Proficiency with HubSpot, Microsoft Office Suite, Microsoft Outlook, LinkedIn, Meta platforms, Canva, Claude, ChatGPT, YouTube, Zoom Webinars, and WordPress or similar website management platforms is preferred.
• Highly organized with the capability to manage multiple priorities.
• Strong attention to detail is required.
• Proactive and self-motivated individual.
• Strong online research skills.
• Effective time management and prioritization abilities.
• Skills in content creation and editing.
• Experience in social media management.
• Coordination of email marketing initiatives.
• Event planning and support experience.
• Proficiency in CRM management and data maintenance.
• Database organization skills.
• Support for marketing operations.
• Proficiency with AI tools.
• Competency in HubSpot.
• Familiarity with Canva.
• Experience in spreadsheet management.
• Ability to follow established processes independently.
• Capability to create strong first drafts with minimal direction.
