This is a fully remote position, open to applicants in United States.
• Act as the sole point of accountability for organizing OG events, which includes managing details, timelines, materials, internal coordination, and follow-up activities.
• Develop and oversee event plans and checklists that encompass milestones, responsible parties, deadlines, logistics, and deliverables.
• Facilitate venue arrangements, registration processes, attendee communications, booth and presentation materials, shipping logistics, travel details, and on-site requirements.
• Collaborate with Sales, Partnerships, leadership, and subject matter experts to define roles, schedules, and responsibilities.
• Handle post-event lead and contact collection, follow-up communications, summary reports, and lessons learned documentation.
• Work alongside the Director of Marketing to implement campaigns and ensure activities, deliverables, and timelines are on track.
• Monitor campaign tasks and deadlines, highlight risks or delays, and follow up with contributors as needed.
• Coordinate the creation and review of emails, social media posts, webinars, marketing materials, and website updates.
• Ensure campaign launch readiness by verifying materials, approvals, target audiences, and channels.
• Maintain tracking and reporting inputs for campaigns, including activity logs and Salesforce campaign data.
• Oversee and manage the comprehensive marketing calendar that includes events, campaigns, social media, content, and other initiatives.
• Identify scheduling conflicts, capacity issues, or gaps and address them proactively.
• Organize marketing files, templates, asset libraries, and documentation efficiently.
• Coordinate with Sales, Partnerships, and other Healthcare and Life Science teams as required.
• Serve as a contact point for marketing inquiries, clarifying needs, timelines, and subsequent steps.
• Manage daily coordination with marketing vendors, including requests, quotes, timelines, deliverables, and invoicing.
• Order, monitor, and manage marketing materials, printed collateral, promotional items, inventory, and shipping logistics.
• Schedule meetings, reviews, and working sessions to ensure smooth operations.
• Track marketing expenditures, purchase requests, and activities in relation to the plan.
• Enhance marketing processes, checklists, and workflows for improved efficiency.
• 2–4 years of experience in marketing coordination, event coordination, project coordination, or a related operational role, ideally in a B2B, professional services, healthcare, life sciences, or technology setting.
• Proven track record of coordinating events, conferences, or programs involving numerous components, stakeholders, and deadlines.
• Experience in supporting marketing campaigns or content production from planning stages through to launch and follow-up.
• Familiarity with vendor management, including order processing and tracking deliverables and budgets.
• Proficient in Microsoft 365 or Google Workspace, project management tools, and virtual collaboration platforms.
• Experience with Salesforce, marketing automation, social media scheduling, or content management tools is advantageous.
• Preferred background in the healthcare or life sciences industry.
• Bachelor’s degree in marketing, communications, business, or a related field, or equivalent professional experience.
• Experience successfully operating in a remote work environment is preferred.
• Exceptionally organized, capable of managing numerous details, deadlines, and priorities simultaneously.
• Proactive and self-motivated, able to anticipate needs, identify potential issues early, and take action without waiting for direction.
• Highly detail-oriented with a strong commitment to accuracy and quality standards.
• Reliable in following through on tasks, taking ownership, and ensuring completion.
• Must have legal authorization to work in the United States without sponsorship.
