This is a fully remote position, open to applicants in Italy.
• Oversee marketing events and external trade shows, which includes managing event registration, booth logistics, vendor and venue arrangements, timelines, materials, attendee assistance, and post-event follow-up.
• Organize internal meetings, business gatherings, and regional events for EMEA business leaders, ensuring arrangements for meeting spaces, hotel accommodations, catering, agenda support, travel coordination, and on-site or virtual meeting logistics.
• Assist approximately seven marketers and their business partners with administrative tasks related to marketing initiatives, campaign execution, event preparations, purchase orders, vendor management, scheduling, and follow-up activities.
• Collaborate with colleagues throughout EMEA, business leaders, marketing teams, event suppliers, venues, and external partners.
• A Bachelor’s Degree or higher in marketing, business, communications, or a related field, along with 2 years of experience in event coordination, marketing operations, trade show support, or executive administrative assistance.
• Alternatively, a High School Diploma/GED with 5 years of experience in trade shows, events, field marketing operations, or executive administrative support, with responsibility for logistics.
• Demonstrated organizational skills and experience handling multiple projects, schedules, and competing priorities simultaneously.
• Familiarity with external vendors, agencies, and suppliers.
• Experience supporting a regional or international marketing organization.
• Proficient with event registration platforms, CRM systems, and marketing automation tools.
• Skilled in managing travel arrangements, internal and external meetings, executive calendars, agendas, meeting materials, and follow-up actions.
• Proficient in Microsoft Office, Teams, Outlook, Excel, and PowerPoint.
• Must be legally authorized to work in the country of employment without requiring sponsorship for employment visa status.
• Knowledge of the German and/or French language.
• Experience in healthcare, technology, or B2B marketing environments.
• Strong attention to detail and ability to follow through on tasks.
• Capability to work independently with minimal supervision.
• Exceptional written and verbal communication skills.
• Ability to maintain composure and adaptability in a fast-paced event setting.
• Experience in negotiating and coordinating with event venues, hotels, and suppliers.
• Familiarity with AI solutions such as Copilot.
