This is a fully remote position, open to applicants in Alabama.
• Assist Events Managers with daily logistics for both internal and advisor-facing events.
• Create materials, name badges, signage, and manage the shipping and inventory of event supplies.
• Oversee the master events calendar while tracking deadlines, action items, and vendor deliverables.
• Help with event budget management, vendor quotes, invoice processing, and expense reconciliation.
• Provide on-site event assistance, including staffing the registration desk, aiding attendees, and resolving logistical issues.
• Research venue options, check availability, and pricing, and present your findings and recommendations.
• Conduct initial outreach to catering, AV, printing, swag, and transportation vendors.
• Maintain a well-organized library of vendor contacts, contracts, and details from past events.
• Coordinate logistics for Town Halls, team offsites, and activities aimed at employee engagement.
• Organize catering, room/AV setup, scheduling, and materials for internal meetings and events.
• Collaborate with Marketing to ensure that event collateral, signage, and digital assets align with brand standards.
• Assist Demand Generation with the creation of event registration pages, invitation emails, and tracking attendees.
• Order and manage the inventory of branded event swag and giveaways.
• Handle registration lists, RSVPs, and the production of badges/name tags.
• Support pre-event attendee communications and create follow-up materials after events.
• Bachelor's degree in Marketing, Communications, Hospitality, Event Management, or a related field, or equivalent experience.
• 1–3 years of experience in event planning, hospitality, marketing coordination, or a similar administrative/coordination role.
• Proficient in Microsoft Office, particularly Excel and PowerPoint.
• Comfortable with learning new event or registration platforms.
• Strong organizational abilities and keen attention to detail.
• Capable of managing multiple events and deadlines concurrently.
• Excellent written and verbal communication skills.
• Comfortable researching and recommending venues, vendors, and pricing options.
• Collaborative mindset with the ability to support various managers and cross-functional teams.
• Willingness to travel occasionally and provide on-site event support, including early mornings or evenings.
• Preferred experience in researching vendors or venues or coordinating logistics for meetings or events.
