This is a fully remote position, open to applicants in Poland.
• Engage with clients to collect project requirements and guarantee precise and timely quotations.
• Analyze clinical trial protocols and client request forms to assess instrument usage and project necessities.
• Develop licensing quotation modules and facilitate modifications to project scope, requirements, and priorities.
• Keep precise records of scope alterations and project updates.
• Investigate past translation projects and questionnaires to recognize existing work, prevent duplication, and establish applicable archive discounts.
• Create basic and intermediate Linguistic Validation quotations, including word counts, formatting needs, and estimated resource requirements.
• Execute basic and intermediate Linguistic Validation projects in accordance with client specifications and established protocols.
• Collaborate with internal teams to ensure that estimates are accurate, feasible, and consistent with available resources.
• Delegate standard and urgent projects to qualified translators and debriefers based on language proficiency, expertise, availability, and deadlines.
• Provide translators and other resources with clear and precise project instructions.
• Work with Finance to facilitate accurate invoicing and payment processing.
• Enhance licensing and repository processes based on client feedback.
• Recognize and escalate resource, quality, or delivery issues as necessary.
• Contribute to process enhancements and uphold consistency and quality across deliverables.
• Assist in the onboarding and mentoring of junior team members when necessary.
• Bachelor’s degree with approximately 1–2 years of relevant professional experience preferred.
• Previous experience in COA licensing and/or Linguistic Validation is highly desirable.
• Experience with medical terminology, clinical research, or related healthcare environments is advantageous.
• Strong research and analytical skills, including the ability to find, interpret, summarize, and compile information from various sources.
• Excellent written and verbal communication skills for liaising with clients and internal stakeholders.
• Strong planning, organization, and attention to detail when managing multiple requests and deadlines.
• Capability to thrive in a structured, deadline-driven environment while managing competing priorities.
• Good problem-solving abilities and capacity to work independently with minimal supervision.
• Ability to comprehend project requirements and select suitable resources based on language, expertise, availability, and quality standards.
• Proficiency in Microsoft Office and other business systems, with a willingness to learn new tools.
• Understanding of quality requirements and capability to operate within established QMS processes and standards, including ISO 9001 and ISO 17100.
• Ability to manage confidential information appropriately and maintain precise documentation.
