This is a fully remote position, open to applicants in California.

📋 Description

• Deliver administrative and secretarial assistance to professional legal personnel.

• Compose letters, legal documents, correspondences, pleadings, subpoenas, and related materials.

• Prepare and compile documents along with necessary transmittal forms and envelopes in the correct format.

• Prepare documents for submission to the court.

• Revise and edit documents to ensure they meet the required format and accuracy standards.

• Draft Answers, Cross-Complaints, discovery materials, and pleadings as instructed by the attorney in charge.

• Maintain transcripts, documents, evidence, claims records, legal files, and case activities.

• Provide support to up to three litigation attorneys.

• Collaborate with attorneys to facilitate workflow processes.

• Coordinate legal services, including court reporting, copying, and delivery services.

• Ensure that work is prepared and submitted punctually.

• Utilize knowledge of court deadlines, Rules of Court, document processing requirements, and office and court protocols.

• Manage routine correspondence and inquiries with attorneys, clients, adjusters, courts, opposing counsel, and claims staff.

• Schedule court reporters, expert witnesses, and other specialists for depositions and trial testimony.

• Classify, sort, and file correspondence, articles, records, and other documents.

• Operate word processors, typewriters, transcription software, case management software, photocopiers, and other office equipment.

• Maintain attorneys' calendars by accurately recording court dates and appearances.

• Arrange meetings, depositions, appointments, and internal legal-file discussions.

• Compile documents, reports, and information for meetings.

• Organize meeting spaces and conference rooms, informing participants of meeting details.

• Resolve scheduling conflicts and coordinate rescheduling as needed.

• Monitor deadlines associated with appearances, daily tasks, and upcoming responsibilities.

• Enhance job knowledge through educational opportunities and professional literature regarding court rules and procedures.


⛳️ Requirements

• High School diploma or GED.

• Basic understanding of terminology, discovery, pleadings, and civil court deadlines.

• Capability to multitask and prioritize tasks effectively.

• Organizational skills with a keen attention to detail.

• Ability to follow instructions accurately.

• Minimum typing speed of 60 wpm.

• Familiarity with legal terminology and legal document management, including briefs, summonses, complaints, motions, pleadings, and discovery.

• Strong oral and written communication skills, with a good grasp of grammar, spelling, and punctuation.

• Capacity to draft routine pleadings and correspondence.

• Ability to utilize and process available resources efficiently.

• Skill in accurately managing calendars and resolving conflicts across multiple schedules.

• Proficient in Microsoft Office applications such as Word, Excel, and Outlook.

• Preferred: Vocational certification or training in the legal field.

• Preferred: 1-2 years of experience in insurance defense or civil litigation.

• Relevant experience in the legal field; a combination of education and/or experience may be considered.

• Preferred: Knowledge of federal and state court rules and e-filing processes.

• Preferred: Familiarity with litigation management software systems.

• Preferred: Flexibility to adapt and respond swiftly to urgent matters.

• Preferred: Experience in trial settings.
