This is a fully remote position, open to applicants in Colorado.
• Oversee, coordinate, and resolve issues related to specialty referrals.
• Ensure continuity in workflow and keep track of referral statuses.
• Provide mentorship, guidance, and support in skill development for Scheduling Coordinators.
• Manage referrals for centers that are understaffed or experiencing high backlogs.
• Address and resolve orders that are stuck or present administrative challenges.
• Advocate with unresponsive provider offices to expedite delayed referrals.
• Conduct daily and weekly audits of EPIC Work Queues.
• Ensure specialty orders comply with 7-day aging standards.
• Perform initial data scrubbing and validations for regional performance feedback.
• Act as the primary resource for workflow, providers, and EPIC navigation for center coordinators.
• Assist the Regional Scheduling Manager with new-hire training, CAP data, and identifying recurring training gaps.
• Serve as a backup contact for urgent issues during the Manager’s absence.
• Audit regional voicemails and forward any unaddressed messages.
• Monitor EPIC pools and the Outside Scheduling Follow-up Work Queue.
• Ensure referrals are acted upon within 48 hours of entry.
• Update quality tracking spreadsheets and audit Department Appointment Reports.
• Escalate orders lacking clinical details to the Medical Director or Clinical Manager.
• Produce weekly reports on pool health and aging of unaddressed messages.
• Review weekly queues and inform the team of orders that are due.
• Confirm that referrals for the following week are reviewed and faxed.
• Prepare data for Daily CAP meetings.
• Conduct initial reviews of scheduling-related grievances.
• Travel 2% to 5% as needed.
• Perform additional tasks assigned by the Regional Scheduling Manager.
• A high school diploma or equivalent is mandatory.
• At least 3 years of experience in medical scheduling is required.
• Demonstrated ability to manage complex specialty referrals and provide peer leadership.
• Proficient in EPIC and Microsoft Office for effective data tracking.
• A minimum of 1 year of experience in administrative, clerical, and medical administrative roles, including filing, record keeping, data entry, and customer service.
• Recent medical scheduling experience within the last 1–2 years is essential.
• Experience with remote work is necessary.
• Knowledge of medical terminology is required.
• Capability to perform all essential duties satisfactorily.
• Current state-issued Certified Nursing Assistant (CNA) license and/or Medical Assistant certificate is preferred.
• Educational background using Epic EMR is preferred.
• Experience in clinic healthcare settings, particularly geriatrics, is preferred.
• Nursing Assistant experience in home care, long-term care, daycare, or group home settings is preferred.
• Florida applicants must undergo background screening through the Florida Care Provider Background Screening Clearinghouse.
