This is a fully remote position, open to applicants in Texas.
• Assist in the planning, organization, and oversight of departmental projects and strategic initiatives from initiation to completion.
• Maintain project plans, workback schedules, milestones, action logs, decision records, risks, and dependencies.
• Prepare materials for meetings and document decisions, action items, responsible parties, and subsequent steps.
• Coordinate information across various workstreams and ensure stakeholders have visibility into project status and priorities.
• Document existing workflows and assist in designing future processes.
• Identify bottlenecks, duplicate tasks, handoff issues, unclear ownership, and other operational challenges.
• Collect stakeholder feedback, research best practices, and propose improvements.
• Pilot, document, and assess new or enhanced processes using established success measures.
• Create, update, and organize standard operating procedures, process maps, templates, checklists, toolkits, user guides, and playbooks.
• Support centralized resource libraries, enhancing the findability, usability, consistency, and maintenance of departmental information.
• Develop onboarding, training, and reference materials.
• Implement document standards, version control, and accessibility considerations.
• Conduct environmental scans, benchmarking, and internal discovery to uncover white-space opportunities, unmet needs, and operational gaps.
• Synthesize qualitative and quantitative findings into summaries, recommendations, and presentations suitable for leadership.
• Assist in prioritizing opportunities based on impact, effort, urgency, stakeholders, and departmental goals.
• Support annual planning, special projects, and continuous improvement initiatives.
• Senior, graduate student, or recent graduate pursuing a degree in Business Administration, Operations Management, Project Management, Public Administration, Public Health, Nonprofit Management, Data Analytics, Communications, or a related field.
• Coursework or experience in project management, process improvement, operational strategy, organizational effectiveness, or nonprofit operations.
• Intermediate proficiency in SharePoint, particularly in building out SharePoint pages.
• Intermediate proficiency in Microsoft Word, Excel, Outlook, PowerPoint, and Canva.
• Strong organizational skills and meticulous attention to detail.
• Ability to handle multiple priorities effectively.
• Capability to gather information, identify patterns, ask insightful questions, and translate findings into actionable recommendations.
• Ability to work independently while effectively collaborating in a cross-functional, remote, or hybrid environment.
• Demonstrated curiosity, initiative, adaptability, professionalism, and commitment to continuous learning.
• Reliable WiFi connection.
• Minimum availability of 20 hours per week, Monday to Friday, between 8:30 a.m. and 5:00 p.m.
• Must be legally authorized to work in the United States for any employer without sponsorship, now or in the future.
• For remote work, must perform duties within the United States, not in a foreign country.
• CAPM certification is a plus but not mandatory.
• Experience with Power BI, Smartsheet, Microsoft Copilot, process-mapping tools, or other project management platforms is advantageous but not required.
