Intake Specialist

This is a fully remote position, open to applicants in Florida.

📋 Description

• Receive and assess incoming referrals through fax, electronic portals, and communications from providers.

• Input patient demographics, insurance details, and referral information into the system.

• Verify referral documentation and gather necessary elements prior to benefits investigation and authorization.

• Conduct welcome calls to explain services, subsequent steps, and financial expectations.

• Engage with referring providers to acquire any missing or clarifying information.

• Initiate benefits investigations for pharmacy and infusion services.

• Identify payer requirements, coverage limitations, and prior authorization needs.

• Communicate findings to internal teams and escalate issues as necessary.

• Assist with prior authorization submissions and collect clinical documentation.

• Collaborate with financial counseling teams on patient cost estimates and available assistance options.

• Identify eligible patients for manufacturer assistance or copay support and facilitate enrollment.

• Direct referrals to the appropriate teams and monitor referral status.

• Maintain documentation and audit trails in compliance with standards.

⛳️ Requirements

• High school diploma or equivalent is required.

• A minimum of 1–3 years of experience in healthcare intake, medical office, specialty pharmacy, or infusion services.

• Experience with prior authorizations, benefits investigation, or revenue cycle processes is preferred.

• Strong attention to detail and accuracy in data entry is essential.

• Knowledge of commercial, Medicare, and Medicaid insurance plans.

• Ability to handle a high-volume workload while meeting turnaround time expectations.

• Excellent communication and customer service skills are required.

• Proficiency in EMR systems and pharmacy/infusion platforms such as WeInfuse, CareTend, Brightree, or similar is preferred.

• A Bachelor's degree or relevant experience is preferred.
