Project Specialist

This is a fully remote position, open to applicants in United States.

📋 Description

• Oversee and track customer orders for Diagnostic Cardiology from order initiation to installation, training, and project completion.

• Act as the main point of contact for customers regarding project status, delivery timelines, installation readiness, training, and resolving issues.

• Collaborate with customers and cross-functional teams, including Order Management, Manufacturing, Logistics, Installation Teams, Clinical Education, Sales, and Service.

• Develop, maintain, and disseminate project documentation, schedules, meeting notes, status reports, and action item trackers.

• Monitor project milestones and communicate risks, delays, and dependencies that may impact customer commitments.

• Organize customer and internal project meetings and promote accountability.

• Coordinate equipment delivery, scheduling of installations, site readiness, and training requirements for customers.

• Manage multiple projects concurrently while ensuring timely updates on project progress.

• Track project status, delivery timelines, and installation schedules using company systems and reporting tools.

• Identify, escalate, and assist in resolving issues related to equipment delivery, site readiness, scheduling, documentation, and customer concerns.

• Facilitate order fulfillment by maintaining accurate project records and priority tracking.

• Foster relationships with customers and internal stakeholders to enhance the customer experience.

• Provide regular updates on project status to customers, stakeholders, and leadership.

• Promote continuous improvement by identifying opportunities to streamline processes and enhance project execution.

• Recognize and report quality or compliance issues, while supporting corrective actions.

⛳️ Requirements

• Bachelor's degree is preferred or an equivalent level of work experience.

• Proven experience in coordinating projects, orders, implementations, or customer-facing business processes.

• Strong skills in customer service and stakeholder management.

• Excellent written, verbal, and interpersonal communication abilities.

• Proficiency in Microsoft Office applications, including Excel, PowerPoint, Word, and Outlook.

• Exceptional organizational skills, capable of managing multiple priorities in a dynamic environment.

• Ability to work independently while maintaining responsibility for project outcomes.

• Strong problem-solving skills with a proactive approach to identifying and addressing issues.

• Experience in collaboration across cross-functional teams.

• Capability to work efficiently in a remote setting.

• Willingness to travel up to 10% as business needs arise.

• Background in healthcare, medical devices, hospitals, clinical, or healthcare technology settings.

• Experience in supporting equipment installations, implementations, or customer onboarding activities.

• Understanding of project management principles, tools, and methodologies.

• Ability to juggle competing priorities while paying close attention to detail.

• Skills in presenting project updates to both internal and external stakeholders.

• Experience in change management or process improvement.

• PMI certification or coursework in project management is a plus.

• Compliance with all applicable GE HealthCare quality, compliance, and regulatory requirements for the role.

• Completion of necessary quality and compliance training within specified timeframes.

• Legal authorization to work in the United States is mandatory.

• Must pass a drug screening where applicable.
