This is a fully remote position, open to applicants in Philippines.
• Provide weekend intake coverage by managing a high volume of inbound and outbound calls.
• Assist families in navigating a step-by-step, decision-tree intake form.
• Collect and accurately record patient and family information in Lumary.
• Clearly and compassionately explain intake requirements and subsequent steps.
• Follow up with families to gather any missing referrals, diagnosis paperwork, insurance details, and other necessary intake documents.
• Build positive, professional relationships with families, serving as a dependable point of contact throughout the intake process.
• Process intake-related faxes by uploading documents to the appropriate patient profile.
• Request missing documentation via fax when necessary.
• Maintain precise, organized, and HIPAA-compliant patient records.
• Escalate complex intake concerns or cases according to established protocols.
• Complete assigned tasks autonomously while adhering to company workflows and documentation standards.
• Minimum of 1 year of prior experience in ABA services, healthcare, behavioral health, or patient intake.
• Experience managing phone-intensive roles that involve both inbound and outbound calls.
• Familiarity with Lumary and Salesforce is preferred.
• Strong background in communication with families, patients, or caregivers.
• Ability to communicate with compassion, patience, professionalism, and care.
• Capability to follow structured intake forms and decision-tree workflows with minimal supervision.
• Excellent verbal and written communication skills.
• Ability to manage follow-ups and keep organized patient records.
• Professional demeanor when dealing with sensitive and patient-facing interactions.
• Availability to provide weekend coverage.
• Experience in collecting referrals, diagnosis documents, and insurance information.
• Must communicate and write in English clearly and professionally.
• Relevant work experience is required.
• Must be able to provide an NBI Clearance and/or Local Police Clearance before onboarding.
• Must be available for video meetings with the camera on when required.
• Reliable laptop or desktop computer is necessary.
• Stable high-speed internet connection with a minimum of 25 Mbps.
• Noise-canceling headset is required.
• Working webcam for virtual meetings is essential.
