This is a fully remote position, open to applicants in California.
β’ Assume responsibility for daily HR operations, monitor deadlines, and manage priorities across HR and payroll functions.
β’ Act as the main point of contact for employees and managers regarding policies, payroll, benefits, and leave inquiries.
β’ Offer guidance to HR support staff and ensure accuracy and completeness in administrative tasks.
β’ Safeguard confidential employee records and ensure consistent documentation practices.
β’ Identify areas for process improvement and assist in the development and revision of HR procedures, resources, and tracking systems.
β’ Collaborate with leadership on sensitive issues and escalate matters that require further examination.
β’ Assist managers in navigating employee concerns, attendance issues, performance documentation, and disciplinary actions.
β’ Organize coaching documentation, written warnings, performance improvement plans, and follow-up actions.
β’ Aid in employee complaint assessments and workplace investigations with impartiality and discretion.
β’ Ensure consistent enforcement of company policies and compliance with California employment regulations.
β’ Facilitate employee separations, including necessary documentation, separation letters, and final pay arrangements.
β’ Oversee payroll preparation and verify the accuracy, completeness, and timely processing of timekeeping records.
β’ Input and confirm staff hours in NPA based on completed Appointment Admin records.
β’ Distribute payroll close notifications, including Lock NPA and Super Locker communications.
β’ Review issues related to drive time, overtime, meal and rest breaks, and timekeeping discrepancies; coordinate necessary corrections.
β’ Process sick leave and PTO entries in NPA, reconciling them with approved documentation.
β’ Input new hire details into ADP and manage onboarding payroll setups.
β’ Calculate final paycheck amounts and ensure timely processing with payroll.
β’ Assist with payroll audits, reporting, and resolving employee payroll inquiries.
β’ Manage employee leave requests, required documentation, notices, tracking, and return-to-work protocols.
β’ Utilize knowledge of California leave laws and relevant federal protections.
β’ Support accommodation requests and coordinate the interactive process with leadership.
β’ Oversee benefits enrollment, modifications, reminders, and employee communications, including EASE health plans.
β’ Guide employees in understanding benefits options and enrollment requirements while liaising with providers as necessary.
β’ Accurately prepare and submit required EDD forms and other employment-related notifications in a timely manner.
β’ Maintain HR trackers, reports, and data logs concerning payroll, leave, benefits, and employee relations.
β’ Detect discrepancies, recurring issues, and opportunities to enhance employee support and administrative efficiency.
β’ Clearly and professionally communicate updates to policies, deadlines, and procedural changes.
β’ Lead or assist in HR and payroll projects as assigned.
β’ At least 3 years of progressively responsible experience in HR.
β’ Required direct experience supporting California employees and applying California employment laws, including overtime, timekeeping, disciplinary procedures, employee leave, benefits administration, and separations.
β’ Proven experience handling employee relations issues and drafting clear, objective performance and disciplinary documentation.
β’ Capability to take a leadership role, coordinate workflows, and address sensitive or urgent matters with minimal oversight.
β’ Strong judgment skills, with the ability to identify when issues necessitate leadership or legal review.
β’ Exceptional customer service abilities and a friendly, empathetic, and professional communication style.
β’ Excellent organizational skills and the capacity to manage conflicting priorities in a fast-paced environment.
β’ Proficient in Google Workspace and Microsoft Excel, including managing trackers, generating reports, and analyzing data.
β’ Strong analytical abilities and attention to detail, particularly in reviewing payroll and employee records.
β’ High standards of confidentiality, accountability, and professionalism.
β’ Experience with ADP, NPA, and EASE preferred.
