HR Operations Coordinator

This is a fully remote position, open to applicants in United States.

📋 Description

• Oversee Gaggle's internal leave program, which involves monitoring usage, managing documentation, and processing approvals and denials.

• Monitor and implement state-specific paid leave initiatives that align with company leave policies.

• Liaise with HR and Finance regarding leave requirements.

• Maintain documentation related to the ADA interactive process.

• Coordinate onboarding and offboarding procedures for both employees and contractors.

• Keep records specific to contractors updated.

• Ensure compliant I-9 verification and documentation for new hires.

• Administer the background check process workflow.

• Manage recruiting efforts, candidate inquiries, and job postings.

• Maintain state registrations, powers of attorney, and system logins for Gaggle teams across various states.

• Address employment verification requests.

• Assist with the annual handbook review and Gaggle Compliance Month initiatives.

• Support state and federal employment filings, including ACA, EEO-1, and Form 5500.

• Aid in the multi-state contractor classification framework and communicate its implications to teams.

• Act as the primary contact for garnishment orders and court documents.

• Assist with unemployment claims in collaboration with the claims vendor.

• Ensure the maintenance of HR documentation and recordkeeping across various systems.

• Resolve issues with Paychex and other HR vendors.

• Develop internal HR documentation and resources.

• Support the annual performance review process.

• Manage routine contractor administration and address escalated HR system issues.

• Generate and compile custom HR reports from Paychex.

• Monitor and document changes in employee status.

• Provide administrative assistance to HR and Finance, including vendor coordination, event logistics, holiday gifts, and employer reviews.

• Participate in cross-training on essential processes to ensure team continuity.

• Serve as a friendly first point of contact for daily employee HR inquiries and concerns.

• Accurately document employee issues confidentially, escalating sensitive or non-routine matters as necessary.


⛳️ Requirements

• Minimum of 4 years of experience in an HR generalist or HR operations role that encompasses benefits administration and payroll data management.

• PHR (HRCI) or SHRM-CP certification.

• Bachelor's degree in HR, business, or a related field, or equivalent practical experience.

• Practical experience with a comprehensive payroll/HRIS platform.

• Familiarity with Paychex Flex.

• Understanding of multi-state compliance for both employee and contractor workforces.

• Proficient in creating and extracting custom reports from a complex HRIS platform.

• Experience in supporting contractor workforce administration.

• Knowledge of employee benefits, including health, dental, vision, and 401(k) plans.

• Notary Public commission, or willingness to obtain one.

• Capability to work independently and take full responsibility for tasks.

• Detail-oriented mindset with a strong focus on accuracy.

• Self-motivated learner with the ability to grasp new systems and processes quickly.

• Empathetic, people-oriented approach.

• Ability to manage confidential employee matters and appropriately escalate sensitive issues.
