πŸ“‹ Description

β€’ Oversee the employee lifecycle processes, which encompass onboarding, changes, transfers, probation evaluations, and offboarding.

β€’ Draft employment letters, contract amendments, and various HR documents utilizing approved templates.

β€’ Accurately manage employee and organizational changes within the HR information system.

β€’ Ensure all electronic employee records are complete and up-to-date.

β€’ Facilitate documentation and approvals among employees, managers, People & Culture, payroll, and finance departments.

β€’ Monitor the People & Culture shared inbox and address routine HR inquiries within established timeframes.

β€’ Offer guidance to employees and managers concerning HR processes, systems, forms, and company policies.

β€’ Refer sensitive, complex, or employee-relations issues to the appropriate People & Culture representative.

β€’ Keep track of employee records and follow up on any missing, expired, or incomplete documentation.

β€’ Assist with the administration of licenses, qualifications, security clearances, and other compliance requirements specific to roles.

β€’ Aid in maintaining HR policies, procedures, templates, and controlled documents.

β€’ Coordinate acknowledgments of policies and necessary confirmations from employees.

β€’ Support both internal and external audits by gathering employee records and compliance documentation.

β€’ Ensure accurate HR information is maintained in line with company policies, privacy regulations, and Australian employment laws.

β€’ Manage confidential employee information with the utmost discretion.

β€’ Organize employee recognition programs, handling nominations, approvals, communications, and rewards.

β€’ Assist with the administration of employee benefits, discounts, and wellbeing initiatives.

β€’ Help facilitate employee engagement activities, events, and People & Culture communications.

β€’ Coordinate communications related to service-recognition milestones for employees.

β€’ Provide support for graduate, apprenticeship, work-experience, and other early-career programs as needed.

β€’ Collaborate with suppliers and service providers that support employee programs and HR initiatives.

β€’ Generate regular and ad hoc HR reports using data from HR systems and internal records.

β€’ Maintain precise data concerning employee changes, compliance efforts, recognition programs, and HR inquiries.

β€’ Identify discrepancies in HR data and coordinate corrective measures with relevant stakeholders.

β€’ Oversee recurring HR activities and deadlines to ensure timely completion of required actions.

β€’ Process People & Culture purchase orders, invoices, accruals, and internal chargebacks.

β€’ Assist with budget tracking and keep accurate records of HR-related expenditures.

β€’ Identify opportunities to enhance HR administration, data accuracy, and employee support procedures.

β€’ Execute other role-specific tasks as they emerge.


⛳️ Requirements

β€’ A bachelor's degree in Human Resources, Business Administration, Psychology, or a related field.

β€’ Prior experience in HR administration, HR coordination, People Services, or a similar position.

β€’ Understanding of Australian employment legislation, Modern Awards, and general HR compliance standards.

β€’ Experience in facilities management, building services, construction, engineering, property services, or another operationally demanding environment.

β€’ Experience supporting geographically dispersed, technical, trade, or site-based employees.

β€’ Practical experience in managing employee lifecycle processes and maintaining employee records.

β€’ Experience in preparing employment documentation and processing employee changes.

β€’ Exceptional administrative and organizational capabilities, with the ability to juggle multiple priorities and recurring deadlines.

β€’ Strong attention to detail and commitment to maintaining accurate HR information.

β€’ Excellent written and verbal communication skills.

β€’ A service-oriented and professional approach to assisting employees and managers.

β€’ Experience in managing shared inboxes, addressing inquiries, and appropriately escalating issues.

β€’ Ability to manage confidential and sensitive information with discretion.

β€’ Familiarity with using an HR information system, employee database, or similar business platform.

β€’ Proficiency in Microsoft Word, Excel, Outlook, and other business applications.

β€’ Strong problem-solving abilities and adherence to established policies and procedures.

β€’ Exposure to HR reporting, data analysis, compliance auditing, or policy administration.

β€’ Experience with processing purchase orders, invoices, accruals, or internal chargebacks.

β€’ Experience coordinating employee recognition, benefits, engagement, or wellbeing initiatives.

β€’ Familiarity with graduate, apprenticeship, or other early-career programs.
