Home Care Growth & Intake Operations Specialist

This is a fully remote position, open to applicants in United States.

📋 Description

• Conduct research on independent home-care, home-health, hospice, senior-living, and selected senior-care organizations throughout the United States, starting with Florida and other key markets.

• Utilize various resources including company websites, Google, Google Maps, LinkedIn, LinkedIn Sales Navigator, Apollo.io, job boards, association/provider directories, and state licensing directories.

• Identify potential decision-makers and operational influencers, such as owners, founders, administrators, executive directors, operations leaders, intake/referral leaders, business-development leaders, community liaisons, and marketing leaders.

• Differentiate authentic care-provider organizations from software vendors, staffing-only firms, billing companies, generic marketing agencies, hospitals, and unrelated businesses.

• Recognize public growth and workflow signals, including job postings for intake or scheduling, service-area expansion, new facilities, referral pathways, online lead-capture opportunities, active hiring, new licenses, and stated service offerings.

• Create and maintain precise prospect records in GoHighLevel, encompassing contacts, tags, notes, custom fields, tasks, opportunity stages, next-action dates, and source information.

• Draft personalized emails, LinkedIn messages, and follow-up communications using approved messaging templates and publicly verifiable information.

• Monitor outreach activities, responses, requested and completed scorecards, scheduled calls, follow-up dates, and pipeline status.

• Compile concise daily activity reports and weekly pipeline summaries.

• Adhere to approved procedures for opt-out requests, do-not-contact records, confidentiality, data handling, and CRM accuracy.

• Assist with staff-supervised, non-clinical CRM and workflow processes.

• Execute related administrative, research, and operations-support tasks as assigned.

⛳️ Requirements

• A minimum of 1 year of experience in home care, home health, hospice, senior living, healthcare staffing, healthcare administration, medical intake, referral coordination, care scheduling, healthcare recruiting, healthcare marketing, community liaison work, CRM support, B2B lead generation, prospect research, or virtual assistance.

• Proficient in written and spoken English.

• Experience with CRM software, spreadsheets, email, calendars, cloud documents, and browser-based tools.

• Strong internet research capabilities using Google, LinkedIn, company websites, job boards, public directories, and social/business profiles.

• High attention to detail and accurate data-entry skills.

• Ability to follow written processes, meet deadlines, manage recurring tasks, and communicate obstacles early.

• Capacity to work independently while providing concise daily and weekly reports.

• Availability for at least 20 hours per week, Monday through Friday.

• Availability for 3–4 hours of regular overlap with U.S. Eastern Time business hours.

• A reliable computer, stable high-speed internet connection, headset, and a professional remote-work environment.

• Commitment to confidentiality and responsible management of business information.

• Preferred: experience as an intake coordinator, referral coordinator, home-care scheduler, patient-services coordinator, office coordinator, healthcare administrative assistant, home-care marketer, community liaison, healthcare recruiter, or healthcare virtual assistant.

• Preferred: familiarity with GoHighLevel, Apollo.io, LinkedIn Sales Navigator, HubSpot, Zoho CRM, Salesforce, Pipedrive, or similar systems.

• Preferred: experience with Google Sheets, Microsoft Excel, Google Workspace, Microsoft 365, ClickUp, Asana, Trello, Slack, or similar tools.

• Preferred: knowledge of AxisCare, WellSky, Homecare Homebase, AlayaCare, CareSmartz360, ShiftCare, or HHAeXchange.

• Preferred: experience with lead-list building, data cleanup, CRM pipelines, email follow-ups, appointment coordination, and business-development support.

• Preferred: familiarity with AI tools for responsible drafting, research support, summarization, and administrative workflow.
