HOA Finance Assistant

This is a fully remote position, open to applicants in Philippines.

📋 Description

• Reconcile and oversee internal accounts.

• Support the Assistant Finance Manager with daily accounting responsibilities.

• Update the internal system with new information.

• Convey essential and relevant information to the team.

• Manage and carry out daily transactions.

• Assist in the preparation of annual filings.

• Organize monthly reconciliations.

• Maintain electronic files and folders efficiently.

• Oversee financial operations for designated properties on behalf of the landlord.

• Keep precise ledgers for rent, fees, expenses, and reserves for each property.

• Reconcile property accounts to ensure completeness and accuracy.

• Monitor tenant accounts and facilitate rent collections.

• Accurately apply payments and manage late payments or delinquencies.

• Act as the initial contact for tenant financial inquiries.

• Review and authorize property-related invoices for the Assistant Finance Manager's review.

• Track recurring and one-time property expenses.

• Ensure timely payments to vendors and adherence to budgets.

• Prepare property-specific statements for income, expenses, cash flow, and budget comparisons.

• Submit reports to the Assistant Finance Manager for consolidation and presentation to the landlord.

• Escalate any unusual financial activities, cash shortages, funding issues, compliance matters, and complex financial situations.

• Monitor rental cash flow and coordinate landlord distributions with the Finance Manager's approval.

• Ensure that financial activities comply with company policies, lease agreements, and regulatory requirements.

• Maintain organized documentation for audits, inspections, and landlord review.

• Collaborate with property managers, maintenance, and other departments.

• Assist the Finance Manager in making timely financial decisions across teams.


⛳️ Requirements

• 1–2 years of experience in General Accounting.

• Proficiency in Microsoft Excel, including the ability to understand and manipulate basic spreadsheets.

• Strong accounting and computer skills.

• Capability to quickly learn new software programs.

• Excellent verbal and written communication abilities.

• Ability to maintain discretion and confidentiality regarding sensitive information.

• Initiative to identify, prioritize, and implement necessary elements for team responsibilities.

• Capacity to work efficiently under pressure and manage multiple concurrent demands while prioritizing tasks.

• Experience in Real Estate is a plus.

• Experience with QuickBooks is a plus.
