This is a fully remote position, open to applicants in United States.
• Oversee the daily execution of HHS acquisition workforce training conferences, industry days, industry roundtables, and reverse industry days.
• Handle event planning from inception to completion, which includes integrated plans, schedules, milestones, risk management, logistics, and contingency planning.
• Coordinate resources for Arlo events, liaising with Government stakeholders, senior leadership, speakers, vendors, and venue personnel.
• Maintain comprehensive logs including action logs, decision logs, meeting minutes, status trackers, deliverable timelines, and event-related documentation.
• Provide event status briefings, written reports, and address requests for information from the Government.
• Assist in the coordination of VIPs, keynote speakers, and special guests.
• Supervise venue arrangements, registration processes, accessibility, audiovisual and IT needs, and setups for virtual or hybrid platforms.
• Manage event platforms encompassing registration, speaker and session management, live streaming, Q&A, polling, recordings, and surveys.
• Lead technical rehearsals, dry runs, site inspections, readiness evaluations, and on-site coordination during events.
• Oversee the requirements for awards ceremonies, including run-of-show, recipient staging, presenter coordination, scripts, and approved commemorative items.
• Coordinate event staff and volunteers, providing daily guidance to support personnel.
• Collaborate with audiovisual, production, photography, videography, banquet, and other contracted vendors.
• Obtain estimates, monitor additional expenses, and document approved changes.
• Contribute to the preparation of monthly and annual program reports and progress updates.
• Design and implement participant assessments, analyze results, and conduct post-event briefings.
• Compile post-event summaries, lessons learned, after-action reports, and track follow-up actions to resolution.
• Ensure that all work products adhere to PWS standards, Section 508 requirements, and Government repository guidelines.
• A Bachelor's degree in business, communications, hospitality, public administration, or a related discipline.
• A minimum of five years' experience in planning and executing large-scale in-person, virtual, and hybrid events, including at least two years in a leadership or management capacity.
• Proven project management capabilities, encompassing scheduling, risk and issue tracking, stakeholder engagement, and deliverable oversight.
• Experience in professional interactions with senior executives, Government officials, or other high-level stakeholders.
• Practical experience with event management platforms such as Stova, Cvent, or similar tools.
• Excellent written and verbal communication skills, with the ability to manage multiple tasks under tight deadlines.

• Ability to successfully pass an HHS background investigation.
