This is a fully remote position, open to applicants in South Africa.
• Respond to incoming calls and engage professionally and confidently with patients.
• Schedule, reschedule, and confirm appointments for patients.
• Accurately and efficiently manage both patient and provider schedules.
• Coordinate appointment availability to help avoid scheduling conflicts.
• Address appointment cancellations, modifications, and rescheduling requests.
• Follow up with patients concerning upcoming appointments and scheduling needs.
• Maintain precise patient appointment records within scheduling or CRM systems.
• Assist patients with scheduling-related inquiries and direct complex questions appropriately.
• Ensure that appointments, reminders, and follow-ups are completed punctually.
• Monitor, prioritize, respond to, and follow up on company emails.
• Track outstanding tasks, appointments, deadlines, and action items.
• Support the smooth operation of day-to-day office functions.
• Collaborate with internal team members and relevant stakeholders.
• Manage general administrative and operational duties.
• Identify potential issues or gaps and proactively address them.
• Keep accurate records across applicable systems.
• Assist with various administrative and operational projects as needed.
• Previous experience in patient scheduling, medical administration, healthcare coordination, or a similar role is preferred.
• Experience in managing a high volume of phone calls and scheduling appointments.
• Exceptional organizational and time-management abilities.
• Capability to thrive in a highly dynamic environment while managing multiple priorities simultaneously.
• Highly intelligent, proactive, and quick to think, with robust problem-solving skills.
• Strong attention to detail and excellent follow-through.
• Confident and professional communication skills when interacting with patients over the phone.
• Superior written and verbal English communication abilities.
• Comfortable handling multiple emails, calls, schedules, and administrative tasks throughout the day.
• Proficient computer skills with the ability to learn and utilize various scheduling and administrative systems.
• Ability to work independently, take ownership, and stay organized with minimal supervision.
• Flexible and adaptable, capable of adjusting to changing priorities and business needs.
• Availability to work flexible hours to support operations across different US time zones, including Mountain Daylight Time (MDT).
