This is a fully remote position, open to applicants in United States.
• Coordinate both domestic and international group air travel bookings to support various group movements.
• Collaborate closely with event planners and sponsors to offer air travel services.
• Maintain and relay travel-related information effectively.
• Fulfill contractual airline requirements for each program.
• Track block space deadlines, ticketing codes, and other airline stipulations.
• Oversee office routines and keep management updated on registration backlogs or service challenges.
• Process air travel requests and correspondence in line with service standards.
• Utilize client registration systems efficiently.
• Respond to calls and messages promptly, keeping customers updated on any developments or changes.
• Secure ticketing and budget approvals according to program protocols.
• Execute ticketing and exchange processes accurately, including relevant accounting data.
• Manage and maintain queues daily.
• Complete refunds and close programs in a timely manner.
• Engage in operational conference calls and create Program Guidelines for the team.
• Ensure excellent customer service through effective use of phone systems and positive service techniques.
• Achieve or surpass customer service, telephone, quality, and productivity goals by offering value-added solutions and recommendations.
• Stay informed about preferred vendor programs and leverage relationships with company vendors.
• Correctly utilize airline terminology, codes, fare basis, airline rules and tariffs, resource materials, and industry contacts.
• Mentor new or less experienced Travel Advisors.
• Collaborate effectively with employees, clients, suppliers, and vendors.
• Perform additional duties pertinent to the role.
• A minimum of ten (10) years of experience in corporate travel.
• Experience with meetings, incentives, or events is advantageous.
• Familiarity with word processing, spreadsheets, presentation, and email software.
• Proficient in Microsoft Office Suite.
• Knowledge of the Sabre reservation system.
• Experience with the Amadeus GDS is highly preferred.
• Comprehensive understanding of travel agency operations.
• Availability to work nights and weekends as required.
• Strong organizational and time management skills, with a focus on achieving goals, plans, and projects.
• Excellent problem-solving abilities.
• Capacity to demonstrate adaptability and flexibility.
• Proven personal and organizational integrity.
• Ability to work independently while exercising discretion and judgment.
• Strong written and verbal communication skills, including public speaking and presentations.
