This is a fully remote position, open to applicants in Tennessee.
• Perform both pre- and post-award activities for a designated faculty portfolio within the College of Connected Computing.
• Offer policy guidance and support in proposal development, administrative documentation, sponsor-required certifications and representations, as well as compliance mandates.
• Create budgets, Principal Investigator checklists, and timelines for proposal submissions.
• Collaborate with Principal Investigators, external partners, and central administrative offices to ensure that applications comply with university, school, and sponsor standards.
• Identify and address issues related to proposal preparation and submission.
• Confirm that school-level approvals are included in proposal attachments.
• Manage application submissions and adhere to deadlines.
• Address inquiries and requests from sponsors.
• Analyze and interpret intricate grant and contract specifications, guidelines, and regulations.
• Serve as a liaison with central administrative offices and external organizations to facilitate award management.
• Monitor, assess, and manage budgets, expenditures, and award compliance.
• Generate budget reconciliation and forecasting reports and meet with faculty to discuss financial circumstances.
• Ensure adherence to effort reporting and financial and progress reporting requirements.
• Assist with annual and final sponsor progress reports.
• Collaborate with sponsors regarding prior approvals, extensions, budget modifications, and general inquiries.
• Facilitate the setup of outgoing subawards and oversee invoice approvals.
• Coordinate the review of incoming contract agreements.
• Provide interim account setups and courtesy extensions.
• Oversee payroll functions as a Human Capital Management Costing Specialist.
• Complete journal entries and conduct grant closeouts.
• Assist with rate setting and implementation for PI/Faculty Service Centers.
• Engage in training related to research administration and financial operations.
• Share best practices and develop tools and resources.
• Report to the Senior Grants Manager; no supervisory responsibilities.
• Bachelor’s degree, ideally in finance, accounting, business, or a related discipline.
• A minimum of 3 years of experience in pre- and post-award management (both federal and non-federal) is required; a combination of education and experience may be acceptable.
• Strong skills in administrative support.
• Exceptional organizational and time management abilities.
• Excellent written and verbal communication skills.
• Remarkable attention to detail.
• Problem-solving capabilities with the ability to thrive in a fast-paced environment and manage competing deadlines.
• Intermediate proficiency in Microsoft Excel.
• Experience collaborating with faculty on complex awards and familiarity with a diverse range of sponsors.
• Advanced understanding of research compliance and sponsor-specific regulations.
• Familiarity with the Vanderbilt University grants management ecosystem.
