This is a fully remote position, open to applicants in North Carolina.
• Oversee and manage a designated portfolio of intricate grants and contracts.
• Support faculty and principal investigators in the development, preparation, and submission of grant and contract proposals.
• Ensure that applications and contracts comply with agency and university standards, timelines, and deadlines.
• Create budgets and budget justifications, check for inconsistencies, and guarantee their accuracy.
• Prepare and submit grants and contracts during the pre-award process.
• Provide guidance to faculty and principal investigators on administrative proposal requirements.
• Develop internal cost assessments and negotiate budgets with sponsors.
• Prepare, coordinate, and review proposal components such as biosketches, justifications, and facilities and resources.
• Monitor adherence to agency and university submission regulations.
• Review sponsored projects via the Sponsored Projects System and Office of Research Administration.
• Manage assigned projects and financial portfolios effectively.
• Track fiscal performance, identify issues, and advise on budget modifications.
• Oversee budget, reporting, and compliance timelines throughout the lifecycle of grants and contracts.
• Set up sub-recipient financial and reporting requirements and coordinate sub-agreements.
• Reconcile monthly budget reports and execute cost transfers.
• Prepare requests for re-budgeting or modifications to projects.
• Reconcile and close sub-recipient cost objects and procure sponsor-required reports.
• Maintain financial records in accordance with institutional retention guidelines.
• Supervise patient-care expense charging and manage overdrafts.
• Ensure accurate recording of project revenue.
• Close funded projects following university procedures and timelines.
• Develop comprehensive project management plans.
• Manage cost-sharing adjustments and sponsor payment tracking processes.
• Apply federal and university regulations to oversee sponsored-award efforts.
• Submit reports to grants and contracts leadership as needed.
• Bachelor's degree required.
• No prior experience necessary for candidates holding a Bachelor's or Master's degree directly relevant to the position.
• Successful completion of Financial Services Introduction to R3, Introduction to Duke GL, Introduction to Accounting, Sponsored Research Reporting, Research Administration at Duke, Basic Compliance, Duke Human Research Training, Budget Development and Negotiation Training, and Industry Funded Clinical Research—Process for Contracts within the first six months of employment.
• Successful completion of the Research Administration Academy (RAA) is anticipated.
• Maintain certification(s) through ongoing education requirements.
• Ability to analyze data and draw conclusions.
• Capacity to learn evolving technologies related to grants and contracts management.
• Proficient in computer usage with a solid working knowledge of the MS Office Suite (Word, Access, Excel, PowerPoint).
• Effective verbal and written communication skills with all organizational levels.
• Ability to manage and prioritize multiple projects/tasks concurrently.
• Capability to create both verbal and written reports.
• Understanding of federal regulations concerning research grant and/or contract activities.
• Familiarity with Duke University policies and procedures regarding grant and contract activities.
• Awareness of Duke University processes, systems, and offices related to grant and contract submission and management.
• Ability to apply federal and university regulations to manage effort allocation for individuals compensated from federal awards.
• Proficiency in applying costing rules and regulations to federally funded projects.
• Ability to perform essential functions in SPS, R3, grants.duke, and SES.
• Understanding of financial processes and controls, including reconciliation.
• Advanced tier requires three years of relevant experience.
