Grants and Contracts Administrator, Campus Grants Management Team

This is a fully remote position, open to applicants in Alabama, +30 more states.

📋 Description

• Oversee and manage a designated portfolio of intricate grants and contracts.

• Prepare and submit grants and contracts during the pre-award phase in accordance with Sponsor and Duke regulations.

• Counsel faculty/PIs on administrative obligations, budgets, modifications, and sponsor stipulations.

• Prepare, coordinate, and review biosketches, budgets, justifications, and facilities and resources documentation.

• Oversee the subcontract and sub-award processes alongside the pre-award office and partner organizations.

• Manage budget, effort, reporting, and compliance schedules throughout the lifecycle of grants or contracts.

• Provide ad hoc reports to business managers and PIs as required.

• Reconcile monthly budget statements and identify and submit cost transfers.

• Prepare and submit requests for re-budgeting or modifications of funded projects.

• Reconcile and conclude sub-recipient cost objects, ensuring sponsor-required reports are obtained.

• Maintain financial documentation in line with institutional document retention policies.

• Manage overdrafts and ensure accurate recording of project revenue.

• Close funded projects following university procedures and timelines.

• Develop project management plans for review by faculty/PIs or senior grants administrators.

• Monitor and implement cost-sharing measures and apply federal and university effort-management regulations.

• Submit reports to central and unit management as needed.


⛳️ Requirements

• A Bachelor's degree is required.

• Research or grants education and/or certification is preferred.

• Completion of required Duke research administration training and Research Administration Academy (RAA) is mandatory within specified timelines.

• No prior experience is necessary for candidates holding a Bachelor's or Master's degree in a relevant field.

• Exceptional written and verbal communication skills are essential.

• A strong analytical background is required.

• Advanced proficiency in Excel is necessary.

• Ability to analyze data, manage multiple projects, think critically, make independent decisions, and deliver outstanding customer service is important.
