This is a fully remote position, open to applicants in North Carolina.
• Collaborate with Principal Investigators to develop, prepare, review, and submit proposals for grants and contracts.
• Construct and justify proposal budgets that meet sponsor guidelines and university standards.
• Evaluate proposal elements for thoroughness and precision.
• Ensure adherence to sponsor, federal, and institutional requirements prior to submission.
• Track proposal timelines and assist investigators through submission milestones and approval processes.
• Oversee a portfolio of sponsored awards from account initiation to project completion.
• Track project expenditures, assess financial activities, and identify possible issues or compliance risks.
• Reconcile monthly financial statements and facilitate necessary corrections and modifications.
• Prepare cost transfers, budget revision requests, and award alterations.
• Supervise project spending, cost-sharing obligations, overdrafts, and revenue acknowledgment.
• Ensure compliance with sponsor, federal, and university regulations.
• Keep track of reporting obligations and deadlines throughout the award lifecycle.
• Apply effort allocation and costing principles to federally funded initiatives.
• Generate financial and administrative reports for investigators, department leadership, and university stakeholders.
• Maintain precise financial and administrative documentation.
• Coordinate financial and reporting requirements with subrecipients.
• Facilitate the issuance, oversight, reconciliation, and closure of subawards.
• Review financial and technical reports submitted by partner organizations.
• Counsel faculty and research teams on sponsored research policies, procedures, and optimal practices.
• Develop project management strategies and support tools.
• Address operational and financial challenges while providing excellent customer service.
• Collaborate with university offices to enhance project execution and research administration functions.
• A Bachelor's degree in a relevant field or an equivalent combination of education and experience.
• Excellent analytical, organizational, and communication skills.
• Capability to manage multiple projects and conflicting deadlines concurrently.
• Proficiency in Microsoft Office applications, especially Excel, Word, and PowerPoint.
• Ability to interpret financial and operational data and derive significant insights.
• Strong written and verbal communication abilities, with the capacity to work effectively across all organizational levels.
• Willingness to learn and apply sponsor regulations, university policies, and best practices in research administration.
• Successful completion of Duke Research Administration Academy (RAA) training within stipulated timeframes.
• Successful completion of mandatory Duke Financial Services and Research Administration courses, including Sponsored Research Reporting and Basic Compliance training.
• Ability to fulfill continuing education obligations related to required certifications and training programs.
• Experience with, or willingness to learn, systems such as SPS, SAP, Grants.Duke, and SES.
