This is a fully remote position, open to applicants in Alabama, +31 more states.

📋 Description

• Oversee and manage a designated portfolio of intricate grants and contracts.

• Support faculty/Principal Investigators (PI) in the development, preparation, and submission of grant and contract proposals.

• Ensure that applications and contracts adhere to agency and university guidelines, timelines, and deadlines.

• Create budgets and justifications; review budgets for inconsistencies and accuracy.

• Prepare, coordinate, and evaluate proposal components such as biosketches, justifications, and facilities and resources.

• Provide guidance to faculty/PI and study teams regarding administrative requirements, cost assessments, budget development, and sponsor negotiations.

• Monitor the status of proposals and ensure compliance with research protection protocols.

• Manage project budgets, reporting, compliance timelines, and financial portfolios throughout the lifecycle of grants or contracts.

• Reconcile monthly budget reports; identify cost transfers, corrections, and necessary adjustments.

• Prepare requests for re-budgeting or modifications of funded projects.

• Establish financial and reporting requirements for sub-recipients and coordinate sub-agreements.

• Monitor compliance with sponsor and university reporting and maintain financial records.

• Manage patient care expense charging, overdrafts, project revenue, sub-recipient closeouts, and project closeouts.

• Develop project management plans for review by faculty/PI or senior grants administrators.

• Apply federal and university regulations to manage effort allocations and costing.

• Submit reports to grants and contracts leadership upon request.


⛳️ Requirements

• Completion of a Bachelor's degree program is required.

• No experience is necessary for candidates holding a Bachelor's or Master's degree directly related to the position.

• Experience in an institutional and/or university setting is preferred.

• Strong preference for candidates with pre-award and post-award experience.

• Successful completion of designated Duke financial, accounting, sponsored research, compliance, human research, budget, and clinical research training within the first six months is required.

• Expected completion of the Research Administration Academy (RAA); employees lacking RAA training must complete it within 12 months.

• Maintain necessary certifications through ongoing education.

• Ability to analyze data and draw conclusions.

• Capacity to adapt to evolving grants and contracts management technologies.

• Proficient with computers and possess a solid working knowledge of the MS Office Suite, including Word, Access, Excel, and PowerPoint.

• Strong communication skills, both verbal and written, for all organizational levels.

• Ability to manage and prioritize multiple projects/tasks simultaneously.

• Skill in creating both verbal and written reports.

• Familiarity with federal regulations governing research grants and contracts.

• Knowledge of Duke University's grant and contract policies, procedures, processes, systems, and offices.

• Ability to apply federal and university regulations to effort allocation and federally funded project costing.

• Experience with or capability to perform necessary functions in SPS, R3, grants.duke, and SES.

• Understanding of financial processes, controls, and reconciliation.
