This is a fully remote position, open to applicants in California.
• Oversee the daily administration of state, county, federal, and pass-through grant awards.
• Maintain compliance calendars for grants and ensure that all reporting and submission deadlines are adhered to.
• Analyze grant agreements, amendments, and funding stipulations, translating them into actionable procedures.
• Ensure that activities funded by grants, including staffing and expenditures, comply with allowable cost regulations as well as federal and state requirements.
• Monitor performance metrics, deliverables, and compliance obligations.
• Keep thorough, audit-ready files and documentation related to grants.
• Prepare and submit precise programmatic and fiscal reports.
• Gather, validate, and reconcile data from various program locations and stakeholders.
• Maintain necessary information within funder and state reporting systems.
• Organize monitoring visits, desk audits, site reviews, and corrective action plans.
• Assist with the renewal, modification, extension, and closeout of grants.
• Collaborate with accounting teams to oversee budgets, expenditures, reimbursements, and the utilization of grant funds.
• Reconcile expenditures against approved budgets and identify any variances or compliance risks.
• Aid in invoicing, reimbursement submissions, and tracking of payments.
• Monitor grant spending rates and recommend adjustments to budgets as needed.
• Foster relationships with funding agencies, contract managers, and public officials.
• Address requests for documentation and information related to grants.
• Stay updated on policy changes and communicate any updates to affected teams.
• Represent the organization at meetings, training sessions, and events related to funders and grantees.
• Collaborate with program leadership, site personnel, and grant-funded field staff to ensure that activities required by grants are completed and documented.
• Train internal staff on grant documentation, data collection, and reporting obligations.
• Work with grant writing teams to transition newly awarded grants into active administration.
• Act as the internal resource regarding grant requirements and permissible use of funds.
• Provide leadership with updates on compliance, deadlines, budgets, and associated risks.
• Bachelor’s degree in public administration, business, health administration, accounting, or a similar field.
• A minimum of three years of experience in grant administration, contract compliance, or management of government-funded programs.
• Proven experience in preparing grant reports, tracking deliverables, and maintaining documentation that is audit-ready.
• Solid understanding of grant budgets and cost allowability principles.
• Proficient in advanced Excel functionalities.
• Preferred experience in administering SAMHSA-funded awards or SOR grants.
• Familiarity with California state or county grant programs, particularly those funded by DHCS, is preferred.
• Background in behavioral health, substance use disorder treatment, or healthcare is preferred.
• Knowledge of 2 CFR Part 200 and single audit requirements is a plus.
• Grants management certification, such as the Certified Grants Management Specialist credential, is preferred.
