This is a fully remote position, open to applicants in United States.
• Assist in the administration of VentureWell’s grants, competitions, and direct subaward initiatives across various program areas
• Design, develop, initiate, and implement comprehensive workflows for grants and competitions
• Facilitate application intake, evaluation, approvals, notifications to applicants, onboarding, contracting, modifications of awards, and reporting
• Create and revise guidelines, application forms, evaluation metrics, and grant documentation
• Construct, initiate, and oversee Requests for Proposals, which include application screening, coordinating reviewers, recording panel discussions, and providing guidance to reviewers
• Offer customer service and technical assistance to applicants, grantees, reviewers, faculty, institutions, board members, and staff
• Oversee notifications, onboarding, awards, and ongoing communications for grantees, prize winners, and subrecipients
• Gather onboarding documentation and ensure timely disbursement of awards
• Conduct onboarding, compliance checks, vendor setup, and contract management for grant recipients and subrecipients
• Generate reports and reconciliations related to applications, onboarding, financial commitments, payments, and portfolio management
• Develop, modify, and document processes and workflows for grants administration
• Maintain documentation and templates for processes
• Assist with internal requests for Grants Administration support and clarify processes related to grants, finance, contracts, and procurement
• Recognize software enhancements, troubleshoot problems, and act as a Product Expert within the software development and management team
• Enhance grants software and tools, including shared email, Asana, Google Shared Drive, Salesforce, AirTable, and AdobeSign
• Oversee the Grants Administration Shared Drive and uphold consistent record management practices
• Facilitate training on grants administration policies, systems, and workflows
• Report directly to the Procurement & Grants Manager
• A minimum of 3 years of relevant experience in grant administration within a non-profit organization, foundation, or governmental agency is mandatory
• Proficiency in designing, developing, and implementing proposals and grant administration is essential
• Strong project management abilities with a focus on managing and replicating complete workflows to meet deadlines while delivering excellent customer service
• Exceptional written and verbal communication skills with the capacity to articulate and synthesize information clearly and persuasively
• Capability to analyze and interpret data and source materials to extract critical information and provide compelling recommendations
• Highly adaptable with attention to detail in complex and ambiguous circumstances, demonstrating enthusiasm and a solutions-oriented approach
• Advanced digital fluency in utilizing cloud-based office tools like GSuite, CRMs, team collaboration platforms, and other web-based applications
• Capacity to thrive in an environment with competing priorities and tight deadlines
• Ability to cultivate strong collaborative relationships and act as a team player with a customer service focus
