This is a fully remote position, open to applicants in California, +2 more states.
• Convert executive vision into formalized site programs and prioritized requirements documentation
• Anticipate occupancy needs and plan space capacity, timing, and location by utilizing utilization data
• Identify sites, conduct property tours, suggest locations, and negotiate or renew commercial leases
• Evaluate alternatives for leases, licenses, coworking, and short-term venues
• Oversee international site selection, leasing processes, local counsel, brokers, and considerations related to codes, accessibility, entity, tax, and employment
• Collaborate with the Accounting team on lease classification and ASC 842 treatment
• Manage relationships with landlords and brokers, oversee real estate documentation, and track key dates
• Supervise office buildouts from initial design intent through permitting, construction, and move-in
• Coordinate with architects, general contractors, designers, and trades to ensure alignment with scope, budget, and schedule
• Create and implement assembly and event spaces equipped with proper egress, rigging, AV, streaming, acoustics, power, network, and food-service capabilities
• Handle daily office operations, including supplies, maintenance, security, access, signage, and overall office experience
• Develop staffing models, operating standards, playbooks, space management protocols, access control measures, and visitor management systems
• Manage workplace and real estate budgets, capital projects, operating expenses, vendor sourcing, contracts, and performance metrics
• Build and lead a small workplace team
• Within the first year, consolidate ongoing projects, establish facility standards and staffing, create a consistent opening playbook, and recruit initial team members
• Over 10 years of experience in workplace, real estate, facilities, or capital projects
• Comprehensive ownership of at least one office buildout project
• Willingness and ability to travel frequently to various offices and locations
• Direct experience in negotiating or managing commercial leases
• Background in working with brokers, landlords, and legal teams
• Strong skills in construction and vendor project management
• Capability to manage architects, construction managers, and general contractors with respect to scope, budget, and schedule
• Knowledge of permitting processes, building codes, accessibility standards, and workplace safety regulations
• Experience in delivering or managing public event, customer-facing, or brand spaces
• Management of capital and operating budgets with strong commercial acumen
• Comfort in navigating ambiguity within a fast-paced, scaling organization
• Experience working across multiple cities or within a distributed, remote-first environment
• Expertise in leasing or building in international markets, especially in EMEA or APAC regions
• Familiarity with lease administration, space management, or IWMS platforms
• Background in hiring and managing a small operations or facilities team
• Expected familiarity with AI utilization, experimentation, and integration into daily tasks
