This is a fully remote position, open to applicants in Belgium, +3 more countries.
• Serve as a primary liaison for the Board of Directors, Board Committees, and shareholders.
• Oversee the preparation and management of Board materials, governance documents, reports, and follow-up actions.
• Organize and facilitate Board, Committee, AGM, EGM, and shareholder meetings from initial planning to execution.
• Ensure the maintenance of precise governance records, corporate documents, action logs, and governance calendars.
• Assist with shareholder relations, director onboarding, Fit & Proper processes, and corporate governance initiatives.
• Contribute to strategic governance projects, such as capital increases and the enhancement of EPI's governance framework and processes.
• Collaborate with the Board of Directors, Board Committees, shareholders, Management Team, and cross-functional leaders throughout Europe.
• Report directly to the General Secretary.
• 3-5 years of professional experience in corporate governance, company secretariat, PMO, legal operations, or a related corporate function.
• Bachelor's or Master's degree in Law, Business Administration, Political Science, or a relevant field.
• Proficiency in English (CEFR C1 or C2).
• Knowledge of French, German, Dutch, or other European languages is advantageous.
• Capability to excel in a remote-first, multicultural setting.
• Strong organizational and project management skills.
• Exceptional attention to detail and a structured, process-oriented approach.
• Ability to handle sensitive and confidential information with discretion and professionalism.
• Strong stakeholder management skills and experience in coordinating across various functions and levels of seniority.
• Self-motivated, dependable, and comfortable operating independently in a fast-paced and dynamic environment.
• Experience supporting Boards of Directors, Executive Committees, or shareholder governance activities is a plus.
• Company secretariat experience within a corporate context is a nice-to-have.
• Background in financial services, payments, fintech, or other regulated industries is a nice-to-have.
• Remote-first culture with quarterly and annual all-staff in-person meetups.
