Fulfillment Coordinator, Medical Information

This is a fully remote position, open to applicants in Illinois.

📋 Description

• Provide medical information response packages and literature requests across the United States

• Oversee the daily Physical Fulfillment queue within the Medical Information Management System

• Print, package, prepare, and dispatch approved response materials

• Ensure prompt fulfillment in line with service-level agreements

• Collaborate with shipping carriers and track order statuses

• Proactively address fulfillment issues and delays

• Keep precise records of inquiries, fulfillment, shipments, and tracking

• Conduct quality checks to guarantee completeness and accuracy of responses

• Work in conjunction with Medical Information Specialists and other cross-functional stakeholders

• Create operational reports and monitor fulfillment metrics

• Identify opportunities for process improvements

• Comply with regulatory, pharmacovigilance, privacy, and compliance standards

• Conduct inventory counts and manage the replenishment of materials and supplies

• Monitor backlog, turnaround times, and service-level performance

• Assist in inspection readiness and special projects

• Maintain a tidy, organized, and safe work environment


⛳️ Requirements

• High school diploma or equivalent qualification

• Exceptional attention to detail and a strong commitment to quality

• Excellent organizational and time management abilities

• Strong written and verbal communication skills

• Capability to handle multiple priorities while ensuring accuracy and compliance

• Proficient in Microsoft Office applications, especially Outlook, Word, and Excel

• Associate degree or equivalent is preferred

• Prior experience in shipping and mailing operations is preferred

• Experience with case management or CRM systems is preferred

• Background in pharmaceutical, healthcare, or other regulated environments is preferred

• No licenses or certifications are required

• Willingness to travel up to 10%

• Availability to work 20–29 hours per week

• Ability to reach, grasp, stand and/or sit for extended periods, walk, talk, and hear

• Occasionally able to lift and/or move up to 25 pounds
