Fractional Law Firm Accounting Manager – Full Time

This is a fully remote position, open to applicants in Pennsylvania.

📋 Description

• Act as the main point of contact for a select group of law firm clients.

• Serve as the final reviewer for all monthly financial packages created by the accounting team prior to distribution to law firm partners. Ensure that each client file adheres to standards and accurately reflects 3-way IOLTA matching.

• Take personal responsibility for addressing and resolving the most challenging, backlogged, or imbalanced historical trust account cleanups and complex multi-entity onboarding files.

• Proactively supervise and mentor new or underperforming team members. Develop and implement structured training plans to address operational skill gaps related to Clio mapping, trust regulations, and self-review methodologies.

• Oversee the onboarding and configuration for new bookkeeping clients, ensuring a seamless experience.

• Contribute to the development, refinement, and maintenance of internal firm workflows, standardized closing checklists, and quality control systems to support scalability as the agency increases client volume.

• Monitor the health of individual team portfolios by tracking deadlines, workload distribution, and client satisfaction metrics to report directly to the Director.

• Manage a range of tasks from daily data entry to extensive IOLTA trust cleanups spanning multiple months and partner-facing communications, including billing portals (Clio, etc.), bank/credit card accounts, accounts payable, and comprehensive self-reviewed financial reporting packages. Payroll, AP/1099 reporting may also be included if necessary.

• Be immediately capable of independently balancing complex legal tech stacks and ensuring regulatory trust tracking (3-way reconciliations).

• Additional responsibilities may encompass aiding in the sale of this service, addressing general client matters, and participating in events to represent this service to our clients.

⛳️ Requirements

• 7+ years of progressive accounting experience in a professional services setting, including at least 2+ years of experience supervising accounting staff or managing cross-client operations in an agency environment.

• Commitment to enhancing the client experience for both internal and external customers.

• Proven experience managing a portfolio of at least 30 accounts simultaneously.

• Expert-level comprehension of financial statements, variance analyses, accrual/adjusting entries, and resolving severely neglected trust accounts.

• Direct experience in the legal sector (IOLTA trust compliance and legal software); responsible for daily synchronization and mapping between core cloud accounting systems and legal practice management/billing software.

• Advanced, hands-on expertise with QuickBooks Online and Clio (or similar legal technology platforms).

• Capability to swiftly learn new technology and bookkeeping systems (experience with multiple systems is advantageous).

• Strong attention to detail, with the ability to identify critical issues amidst extensive information.

• Education: A Bachelor’s degree in accounting or finance is mandatory; a CPA license or ongoing progress toward a CPA/Master’s designation is highly preferred.
