This is a fully remote position, open to applicants in Illinois.
• Oversee financial support services personnel to guarantee high-quality service delivery and the fulfillment of client and performance objectives.
• Manage staffing levels and workflow demands, allocating staffing resources according to shifts or service lines.
• Balance billing responsibilities effectively.
• Oversee the employee lifecycle processes, including recruiting, onboarding, training, development, succession planning, and offboarding.
• Track client inventory balances and ensure prompt billing and follow-up on accounts receivable.
• Ensure compliance with workflow from proforma generation to invoice collection, including necessary reviews and approvals.
• Act as the primary contact for team members, addressing daily inquiries and concerns.
• Handle customer questions, communicate issues along with proposed solutions, and manage escalations.
• Liaise with the law firm regarding overdue balances and escalate problematic accounts as necessary.
• Maintain an understanding of client billing and payment terms, discounts, and preferences.
• Prepare administrative reports and manage production-related processes.
• Assist the manager with P&L activities, managing overtime and time-off considerations.
• Ensure timely transfer of e-billed invoices to the e-billing vendor.
• Uphold company and client policies, service level agreements (SLAs), and quality standards.
• Collaborate with the manager to create development plans and challenging assignments.
• Establish goals, prioritize tasks, and provide continuous performance feedback.
• Support monthly Client Service Reviews and Quarterly Business Reviews.
• Promote cross-training and teamwork to enhance client service delivery.
• An associate or bachelor’s degree in Business, Finance, or a related field is required; equivalent experience may be accepted in lieu of formal education.
• A minimum of 5 years of billing experience in a law firm or professional organization is required; 6+ years is preferred.
• At least 3 years of experience supervising all or part of the billing function in a professional services setting is preferred.
• Exceptional customer service abilities.
• Strong verbal, written, leadership, and interpersonal communication skills.
• Proficiency in 3E, Elite, or Aderant, as well as an industry-standard collection software tool.
• Advanced skills in MS Excel, including pivot tables, charts, graphs, and formulas.
• Proficiency in MS Word and PowerPoint.
• Familiarity with legal terminology and formats for legal documents.
• Capability to multitask and adhere to tight deadlines.
• Outstanding organizational and time-management abilities.
• Ability to foster team collaboration and take ownership of tasks and projects.
• Strong attention to detail.
