This is a fully remote position, open to applicants in Virginia.
• Oversee and monitor various facilities projects from inception to completion.
• Administer a high volume of work orders, ensuring prompt responses and resolutions by both internal teams and external vendors.
• Act as the main liaison among internal teams, vendors, and building management.
• Convey project timelines and expectations to field and regional teams.
• Request, evaluate, and manage vendor proposals and bids.
• Issue and oversee work orders using the FEXA CMMS system.
• Organize contractor site access, scheduling, and on-site activities.
• Ensure that vendors comply with insurance, safety, and regulatory standards.
• Collaborate with studio field teams to minimize disruptions during project implementation.
• Input and update project information in FEXA.
• Serve as the on-call point of contact for studio teams up to twice a month.
• Execute ad hoc projects, such as vendor performance evaluations and pilot rollouts.
• Assist other Facilities Project Coordinators during their absences.
• Aid in daily studio maintenance and management through work queue oversight.
• Report directly to the Senior Facilities Field Manager.
• Preferred candidate should be located in the Pacific Time Zone.
• Willingness to travel to the Arlington, VA headquarters as required.
• Minimum of 2 years’ experience in facilities coordination, vendor management, or multi-site operations.
• Ability to prioritize multiple projects effectively.
• Self-motivated individual who takes initiative and propels tasks forward independently.
• Capacity to identify issues, devise solutions, and connect information across departments.
• Proficient in processing complex information and conveying it clearly and succinctly.
• Capability to handle multiple competing priorities in a dynamic, high-volume setting.
• Strong organizational skills in file management and record keeping.
