This is a fully remote position, open to applicants in North Carolina, +1 more state.
• Oversee daily facility operations, administrative tasks, and logistical support to ensure effective program delivery and client satisfaction.
• Handle scheduling, activity coordination, and communication with stakeholders across various teams, vendors, and client representatives.
• Assist in vendor management activities, including onboarding, compliance monitoring, documentation preparation, and service coordination.
• Generate and maintain daily, weekly, and program-level reports for internal leadership, clients, and operational stakeholders.
• Engage in cross-functional meetings by taking meeting notes, tracking action items, escalating risks, and maintaining process documentation and playbooks.
• Utilize Microsoft Office applications, especially Excel, to facilitate reporting, data tracking, scheduling, and operational analysis.
• Work on rotating shifts, including potential early morning and weekend hours, while adjusting to evolving operational priorities and deadlines.
• 2–4 years of experience in facilities coordination, project coordination, operations support, or a related field.
• Advanced proficiency in Microsoft Office Suite, particularly Excel, with experience in managing large datasets and reporting functionalities.
• Exceptional organizational and time management skills, capable of handling multiple priorities simultaneously.
• Strong verbal and written communication skills, with experience in engaging with clients, vendors, and cross-functional teams.
• Proven customer service experience, demonstrating the ability to manage stakeholder expectations in a professional and effective manner.
• Capability to work independently with minimal supervision in a fast-paced and dynamic environment.
• Flexibility to work rotating schedules, including early morning shifts and potential weekend coverage.
• Experience utilizing facility management systems, QR coding applications, or platforms such as Sitefotos.
• Knowledge of vendor compliance processes and supplier onboarding procedures.
• Experience in supporting facility operations within large corporate, logistics, or industrial settings.
• Familiarity with process improvement methodologies and operational efficiency practices.
• Strong problem-solving and conflict resolution skills in high-volume operational environments.
• Ability to assist in project coordination activities, including scheduling, documentation tracking, and meeting facilitation.
• Demonstrated ability to foster collaborative working relationships with diverse stakeholder groups.
• Candidates must be authorized to work in the United States without sponsorship.
• Candidates must be comfortable with shifts starting as early as 4:00 a.m. or 5:00 a.m. Eastern Time.
