This is a fully remote position, open to applicants in South Africa.
• Provide support to a team of senior leaders, initially comprising six individuals across the EMEA region.
• Oversee complex, multi-regional calendars and independently resolve scheduling conflicts.
• Analyze calendars to identify ineffective patterns, minimize interruptions, and safeguard focused work periods.
• Organize international travel itineraries from inception to completion.
• Process expenses accurately and promptly, adhering to company policy.
• Professionally represent SmartPA in all interactions.
• Establish trusted relationships with supported leaders and broader teams.
• Anticipate potential issues early and make informed scheduling and operational decisions autonomously.
• Engage in a recruitment process that includes two interview stages along with skills assessments.
• Minimum of 2 years' experience in managing complex calendars, scheduling, and travel arrangements.
• Demonstrated ability to navigate challenging situations independently and devise practical solutions with minimal oversight.
• Strong business acumen, coupled with the confidence to ask pertinent questions and exercise sound judgment.
• Experience with modern calendar and productivity tools, including managing time-zone differences and minimizing unnecessary meetings.
• Capability to adapt tone from brief messages to formal updates tailored for senior leaders.
• Proficient and confident use of Google Workspace (Calendar, Sheets, Docs, Slides, Drive) and other online communication platforms.
• Exceptional attention to detail and complete discretion when managing sensitive information.
• Eagerness to learn and a strong sense of ownership over tasks.
• An interest in enhancing processes and minimizing manual tasks is a plus.
• Practical experience using AI tools like Gemini is advantageous.
• Submission of a CV and cover letter is required.
• Availability from Monday to Friday in alignment with UK working hours is essential.
