This is a fully remote position, open to applicants in United States.
• Deliver proactive calendar management and oversee multiple projects with competing deadlines.
• Collaborate with executives to advance team initiatives that align with business objectives.
• Act as a liaison for executives’ direct reports and administrative partners.
• Coordinate intricate travel arrangements for executives, manage expense reporting, and organize special events, team activities, and meetings.
• Conduct research, coordinate participants, prepare materials, and oversee logistics.
• Handle complex calendars, prioritize meeting requests, and make decisions on behalf of executives.
• Cultivate relationships across executives’ teams and navigate challenging situations effectively.
• Prepare presentations and executive communications.
• Record meeting minutes and monitor action items.
• Manage meeting topics, agendas, presenters, and timing.
• Ensure accountability for team project deliverables and maintain project tracking systems.
• Identify opportunities for process enhancements and promote efficiency.
• Lead the comprehensive planning and execution of executive offsites and strategic team gatherings, including budgeting, venue sourcing, agenda creation, and stakeholder coordination.
• Minimum of 5 years’ experience supporting executives in a dynamic environment within the High Tech sector.
• Capacity to make sound decisions in a fast-paced setting with shifting priorities.
• Exceptional attention to detail along with a high level of integrity and discretion when handling confidential information.
• Strong verbal and written communication skills.
• Outstanding organizational abilities.
• Proven track record of building cross-functional relationships and collaborating closely with leaders.
• Capability to keep multiple teams and projects on schedule simultaneously.
• Proficient in planning and facilitating virtual, in-person, or hybrid leadership summits and team-building events.
• Experience with contract management, procurement processes, and general business workflows.
• Skilled in using common administrative tools, including Zoom and G-Suite.
• Familiarity with utilizing AI for productivity improvements.
• Experience in internal communications is preferred.
• A Bachelor’s Degree or Diploma in Business, Sales, or Communications is a plus but not required.
• Experience in planning and preparing for business operating cadences such as Quarterly Business Reviews or Long Range Planning meetings is a plus.
