This is a fully remote position, open to applicants in Texas.
• Serve as the main liaison between the CEO and both internal and external stakeholders.
• Oversee complex calendars spanning multiple time zones and resolve scheduling conflicts.
• Manage inbox duties, including prioritization and drafting communications for the CEO.
• Organize meetings, prepare agendas, take notes, and ensure that follow-ups are completed.
• Plan and handle travel logistics, accommodating last-minute changes as necessary.
• Assist in the execution of special projects and operational initiatives.
• Create reports, presentations, and internal communications materials.
• Uphold confidentiality regarding all executive and business-related matters.
• Proactively recognize gaps, inefficiencies, and opportunities for improvement.
• Oversee household management tasks such as cleaning, laundry, and ironing.
• Manage calendars, meetings, travel arrangements, and bookings.
• Support content creation and personal branding efforts with editors, photographers, and stylists.
• Attend events, dinners, and gatherings alongside the founder as a personable and professional representative.
• Organize social events, including rooftop yoga sessions, dinners, and biweekly gatherings.
• Cultivate and maintain social connections, extend invitations, and follow up with contacts.
• Act as a cultural interpreter and offer support in international settings.
• Coordinate photo shoots and various creative media projects.
• Manage expense tracking, reimbursements, and personal requirements.
• Oversee details during events, including managing phones and schedules, allowing the founder to remain present.
• Minimum of 3 years of experience as an Assistant or in a similar role supporting senior leadership.
• Exceptional organizational and multitasking skills in high-pressure environments.
• Outstanding written and verbal communication skills in English.
• High degree of discretion and professionalism.
• Ability to work independently and make informed decisions with minimal guidance.
• Strong problem-solving mindset and a proactive ownership attitude.
• Comfortable working across different time zones and adapting to shifting priorities.
• Tech-savvy with the ability to quickly learn new tools and systems.
• Proficient in Google Workspace, including Gmail, Calendar, Docs, Sheets, and Slides.
• Familiar with project management tools such as Asana, ClickUp, Trello, or Monday.
• Knowledgeable about communication tools such as Slack, Zoom, or Teams.
