This is a fully remote position, open to applicants in Colombia.
• Deliver high-touch, proactive assistance to 3–4+ Marketing Vice Presidents.
• Oversee intricate, high-volume executive calendars, travel arrangements, and meeting requests.
• Prioritize incoming requests, resolve scheduling conflicts, safeguard executive focus periods, and prepare leaders for impactful engagements.
• Collaborate with the Chief of Staff to the CMO and two Marketing Executive Assistants on executive coverage and team priorities.
• Coordinate coverage, exchange best practices, and ensure continuity during absences or peak periods.
• Organize and execute All Team meetings, AMAs, leadership meetings, planning sessions, and team offsite events.
• Manage agendas, coordinate logistics, oversee speakers, gather content, and support run-of-show activities.
• Handle expense reports and manage purchase orders.
• Provide accurate and timely support for administrative workflows.
• Manage sensitive information, executive communications, and high-priority requests with confidentiality.
• Enhance administrative processes, team communications, meeting structures, and operational practices.
• Act as the representative of Marketing leadership to employees, customers, partners, and external stakeholders.
• Minimum of 3 years in a progressive role as an Executive Assistant, senior administrative support, or equivalent coordination experience.
• Direct experience providing support for VP, SVP, or C-suite-level executives in a fast-paced, high-growth, or complex organization.
• Proficiency in English.
• Availability to work from 9:00 AM to 5:00 PM EST / US Eastern Coast hours.
• Flexibility to assist with occasional needs outside of regular business hours.
• Experience supporting multiple senior leaders concurrently, ideally with 3–4+ VP-level executives.
• Proven ability to manage multiple time zones, competing priorities, complex calendars, travel arrangements, and high-stakes meetings.
• Familiarity with executive meeting preparation and stakeholder coordination.
• Capability to act as a trusted partner and strategic gatekeeper.
• Experience collaborating within an Executive Assistant team.
• Expertise in coordinating leadership meetings, All Team meetings, offsites, customer events, and high-visibility virtual, hybrid, and in-person programs.
• Proven skills in handling confidential organizational, personnel, financial, and business information.
• Experience with processing expenses, purchase orders, invoices, vendor payments, and administrative financial workflows.
• Outstanding written and verbal communication skills.
• Ability to work independently with minimal supervision.
• Comfort in navigating ambiguity and shifting priorities.
• Proficiency in Google Workspace.
• Willingness to learn and adapt to evolving AI tools and technologies.
