This is a fully remote position, open to applicants in Malaysia.
• Oversee the incorporation processes for various business entities, including private limited companies, sole proprietorships, and partnerships.
• Manage the transfer of corporate secretarial appointments for existing businesses.
• Prepare statutory documentation, such as Annual General Meetings (AGMs), Extraordinary General Meetings (EGMs), and Board Resolutions.
• Keep minute books, statutory registers, and internal databases up to date.
• Monitor and handle statutory deadlines for assigned clients.
• Facilitate the incorporation, annual returns, and corporate modifications for Hong Kong companies, ensuring compliance with the Hong Kong Companies Ordinance.
• Guarantee adherence to corporate governance standards and regulatory obligations.
• Offer guidance and assistance to clients while building lasting relationships.
• Collaborate with various internal teams across functions.
• Undertake additional corporate or ad-hoc administrative tasks as directed by management.
• Report to the Portfolio Team Manager and Corporate Secretary Managers.
• Engage in the specified interview process and professional reference verification.
• 1–3 years of pertinent professional experience, preferably in Corporate Secretarial, Legal Compliance, or Corporate Administration roles.
• Must be located in Malaysia.
• Prior practical experience managing Hong Kong entities is essential.
• Familiarity with the Hong Kong Companies Ordinance is required.
• Proficient in English and either Cantonese or Mandarin, both in written and spoken forms.
• Experience in drafting fundamental corporate documents, such as resolutions or minutes.
• Proven track record in monitoring regulatory deadlines.
• Excellent organizational abilities.
• Strong attention to detail and accuracy in documentation is crucial.
• Capacity to excel and maintain precision in a fast-paced, high-growth environment.
• ICSA qualification or GradCG status is highly advantageous, though not mandatory.
• Willingness to undergo required background checks, which may encompass education, criminal history, political exposure, bankruptcy, or adverse credit history checks.
